About US:

Makerere University –Johns Hopkins University (MU-JHU) Research Collaboration conducts clinical and translational research with a focus on HIV, TB and other conditions which affect the health and well-being of children, adolescents, women and their families. MUJHU was founded in 1988 as a collaboration between researchers from Makerere University and Johns Hopkins University in Baltimore, USA at a time when the AIDS epidemic was at its peak in Uganda, with an initial mission to improve the lives of families infected and affected by HIV through Research, Care and Training. In 2006, the MUJHU Research Collaboration was registered as a not-for-profit entity in Uganda entitled ‘MUJHU Care Limited’ with a continuation of the Collaboration’s vision and mission.

 

Job Summary:   The Project Administrator will provide oversight of day-to-day administrative tasks of the project, including documentation and reporting as required by the funder of the project. The primary responsibilities evolve around post-award support covering grants/compliance reporting, financial reporting, and project organization.

 

The holder of this position will work under the direct supervision of the Head of the Project Accounts with functional responsibilities to the Program Manager/Study Investigator

 

Key Duties and Responsibilities:

  • Provide a resource to study Investigators and study team on Sponsor policies and regulations regarding the administration of award funds as well as monitor compliance issues.
  • Be responsible for monitoring the budget utilization and communicate any relevant budgetary issues to the Study Investigator/Project Director/Budget holder.
  • Prepare timely and accurate financial reports as required by the Study Investigator/Project Director/Budget holder and Head of the Project Accounts/Director of Administration & Finance to ensure adherence to institutional finance policies and donor requirements.
  • Coordinate the project audits and compliance review and ensure audit requirements and recommendations are monitored and adhered.
  • Ensure all sub partners to the project (if applicable) understand the financial requirements and have systems in place to meet them.
  • Support execution of awards by working with relevant stakeholders (Finance, Study Team, Budget Analyst, Investigators) in provision of post award support to adhere and monitor any reporting requirements, key deadlines, important sponsor communication and any related guidelines specific to the award.
  • Act as liaison to assist collaborating institutions when preparing proposals with subcontracts.
  • In liaison with the Grants office coordinate the financial and contractual closeout process through identification of current budget status and hold discussions with stakeholders for a list of additional projected closeout activities.
  • Initiate and coordinate all required procurements and services support requests for the study in liaison with the procurement section and the general administration support service team.




Qualifications, Skills and Experience:

  • The prospective candidate must hold a Bachelor’s degree in Business Administration or related Finance course.
  • A post graduate qualification in Project Planning and Management and full/part completion of ACCA/CPA certification is desired.
  • At least three years of relevant working experience managing the administration of grants with a multi-donor busy institution.
  • Experience working with a clinical research institution would represent an advantage.
  • Must be proficient in the use of Microsoft Applications (desired applications inclusive of Excel, Power Point and Word).
  • Familiarity in the use of computerized accounting packages is required, specific experience with Microsoft Dynamics NAV would be an advantage.
  • The candidate should be flexible to travel to multiple study sites as required and should possess excellent interpersonal and communication skills with ability to prioritize in a demanding environment, multiple accountabilities, and to tight deadlines.
