About US:

Uganda Electricity Generation Company Limited (UEGCL) is a Public Limited Liability Company incorporated in March 2001 under the companies Act (Cap 110), the Laws of Uganda and in conformity with the Electricity Act, 199 UEGCL started operation on 1st April 2001 and is wholly owned by the Government of the Republic of Uganda, with the head office located in Kampala. The mandate of UEGCL is to establish, acquire, maintain and operate electricity generation facilities as well as promote Research and Development in the Electricity generation sector while running the company on sound business principals.

 

Job Summary: The Senior Records and Archives Officer will actively participate, Implement and administer Company-wide document management systems and related procedures that allow organizations to capture, store, retrieve, share, and destroy electronic records and documents

 

Key Duties and Responsibilities:

  • Consult with end users regarding problems in accessing electronic and non-electronic content.
  • Participate and provide technical support for software maintenance or use.
  • Monitor regulatory activity to maintain compliance with records and document management laws.
  • Search electronic sources, such as databases or repositories, or manual sources for information.
  • Retrieve electronic assets from repository for distribution to users, collecting and returning to repository, if necessary.
  • Develop, document, or maintain standards, best practices, or system usage procedures.
  • Participate in the Development of performance metrics or standards related to information technology and management.
  • Write, review, or execute plans for testing new or established document management systems.
  • Implement procedures and protocols to automate document management e.g. scanning documents using imaging devices and document imaging software.
  • Develop systems and processes to monitor and restrict access to documents or other electronic content according to characteristics such as security level, function, and metadata.
  • Prepare and record changes to official documents and confirm changes with legal and compliance management staff, including enterprise-wide records management staff.
  • Participate and manage documentation to ensure organization or accuracy.
  • Develop/supervise the development of document or content classification taxonomies to facilitate information capture, search, and retrieval.
  • Prepare support documentation and training materials for end users of document management systems.
  • Propose recommendations for improving content management system capabilities.
  • Participate and recommend changes to improve computer or information systems e.g. EDRMS.
  • Operate data capture technology to import digitized documents into the electronic document management system.
  • Document technical functions and specifications for new or proposed content management systems.
  • Exercise security surveillance over document processing, reproduction, distribution, storage, or archiving.
  • Ensure that risks associated to records management are well managed ie that no electronic records are disposed of without a written disposal authority

Qualifications, Skills and Experience:

  • A minimum qualification of Bachelor’s Degree in Information Management and/or Records Management.
  • Post Graduate Diploma in Archives or Records Management or its equivalent is a must
  • Professional certification e.g Institute of Certified Records Managers (ICRM level 6)
  • At least five years of experience in a similar position of which 2 years should be at supervisory level
  • Good planning and organizational skills
  • Good analytical and problem solving skills
  • Good communication, facilitation and presentation skills.
  • Interpersonal skills and high level of integrity
  • Computer literacy
  • Good business acumen and capacity to establish credibility, trust and partnership
  • Supervisory skills
