Job Summary: The Trainee and Administrative Assistant will provide support to various departments within the organization while also receiving training and mentorship to develop skills and knowledge in administrative functions. This role is ideal for individuals looking to gain experience in a professional setting and build a foundation for a career in administration.
Key Duties and Responsibilities:
Administrative Support:
- Assist with day-to-day administrative tasks, including data entry, filing, photocopying, and scanning documents.
- Answer phone calls, take messages, and redirect inquiries to the appropriate person or department.
- Manage incoming and outgoing mail and packages.
- Coordinate meetings, appointments, and travel arrangements for staff.
- Maintain office supplies inventory and place orders as needed.
- Assist in organizing and coordinating company events and activities.
Reception and Customer Service:
- Greet visitors and clients in a professional and courteous manner.
- Direct visitors to the appropriate meeting rooms or personnel.
- Respond to inquiries from clients, vendors, and other stakeholders in a timely and friendly manner.
- Provide basic information about the company’s products, services, and policies.
Training and Development:
- Participate in training programs and workshops to develop skills in administrative tasks, communication, and professional conduct.
- Learn and adhere to company policies, procedures, and standards.
- Receive guidance and mentorship from senior administrative staff.
- Seek opportunities to learn and grow within the organization.
Team Collaboration:
- Work collaboratively with colleagues and team members to achieve departmental goals and objectives.
- Assist with special projects and initiatives as assigned by supervisors.
- Communicate effectively and professionally with team members and other departments.
Qualifications, Skills, and Experience:
- Diploma or equivalent in administration or related field preferred.
- Previous experience in an office environment or customer service role is a plus.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Willingness to learn and take on new tasks.
