About US:

Kulika Uganda a non-profit making organisation registered with the NGO- Board is a brainchild of Kulika UK which started in 1981. It was founded by Patricia Brenninkmeyer who had been a social worker in Uganda. She saw the need in post- Amin Uganda to give opportunities to bright students to study when much of the academic and institutional infrastructure of the country was non-functional. Patricia had special interest in children and their feeding, hence the start of agriculture to feed the children and educational scholarships, to empower them.

 

Job Summary:  The Logistics Assistant will be responsible managing and coordinating all logistics of Arua field office with focus on fleet management, procurement support and office maintenance. The logistics will be exemplary in his/her commitment to Kulika Uganda core values, uploading principles and policies to Kulika Uganda associates.

 

Key Duties and Responsibilities:

Logistics Assistant

  • Manages logistics arrangements for high level and routine project activities including hotel bookings, workshop facilities and supplies
  • Prepare Receipt and Inspection Reports for incoming equipment and supplies
  • Issue equipment and supplies and maintain updated inventory records
  • Support asset disposal plan in accordance with the Kulika policy
  • Participate in verifying and re-registering and engraving assets procured
  • Reconcile all assets recorded in the Assets Register against the items purchased
  • Work in close collaboration with the Finance and Administration Officer, to implement the procurement activities
  • Prepare periodic logistics reports;
  • Ensure that office premises are maintained and necessary repairs and maintenance (e.g., electricity, water supply, etc.) are carried out in a timely manner;
  • Assist in documentation and filling of office documents
  • Assists in organizing events and scheduling official meetings
  • Builds and nurtures good working relationship with vendors and customers
  • Works with suppliers to confirm receipt and status update of orders, investigate discrepancies, coordinates replacement and return of unsatisfactory deliveries, ensure completion of the procure-to pay-cycle.
  • Review invoices from vendors for accuracy and correctness before submitting them for payment.
  • Maintains proper documentation to verify that all procurement’s comply with Kulika Uganda procurement policies and donor guidelines
  • Maintains comprehensive procurement files, including solicitations, proposals, evaluations, award contracts, and correspondences on all procurement’s, following policies and local law.
  • Perform any other duties as and when assigned by the supervisor

Qualifications, Skills and Experience:

  • The applicant must hold a Diploma in logistics and procurement
  • Three years of experience in logistical management in a busy NGO
  • Good analytical and problem solving skills
  • Knowledge of fundamental supply chain and Logistics planning principles
  • Strong problem solving and decision making skills plus ability to think laterally while offering creative solutions
