Job Summary: To support General food assistance activities of verification to ensure the right persons receive the right assistance.

 

Key Duties and Responsibilities:

  • Provide support in food and cash distribution to ensure that right People of Concern (PoCs) are verified and served as per the jointly agreed (UNHCR, OPM, WFP) Standard Operating Procedures and WFP guidance Programme.
  • Conduct validity checks on the documents of the PoCs including the attestations letters and ration cards to ensure that PoCs get their entitled rations.
  • Conduct physical verification of PoCs against their documents and household data in the manifests and Cash release notes at all distributions.
  • Follow up of the Partner to provide timely delivery of accurate daily distribution reports.
  • Ensuring distribution reports based on the cash/food logs/ manifests and the independent waybills.
  • Ensuring copies of all documents including but not limited to manifests, complaint records and coupons are properly kept.
  • Conduct reconciliations at the end of distributions for both cash and food.
  • Participate in data entry in WFP corporate systems
  • Work hand in hand with the Monitoring Assistants to compile and submit daily, weekly and monthly reports.
  • Participate in other monitoring and evaluation activities as assigned from time to time
  • Participate in mainstreaming Accountability to the Affected persons (AAP) across all WFP activities
  • Perform any other duty as assigned by the Supervisor;
  • Collect, sort and disseminate correspondence, reports and other material to meet the required demands of staff to time standards.
  • Respond to routine queries received and escalate where appropriate, to provide a timely and accurate service to clients.
  • Proofread written documents, such as standard reports and correspondence, to contribute to the accuracy of written information developed by staff.
  • Provide a set of standard business support activities, where required, to contribute to the effective functioning of business operations.
  • Make travel arrangements and support events, etc., to support staff to work effectively.
  • Support the maintenance of office files, documents, and records in accordance with established systems and processes so that information is current and readily available for staff.
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organised and readily available for the business team.

Qualifications, Skills and Experience:

  • The ideal candidate must hold a bachelor’s degree in IT, Computer science, Agriculture, Nutrition, Food science, social sciences, or any other related discipline from a reputable institution.
  • At least three years of experience in managing relief, recovery, or development programmes implementation in rural areas with a reputable organisation.
  • Training in IT is an added advantage
  • Ability to use standard office equipment such as photocopiers and scanners.
  • Ability to follow standard business support processes and procedures.
  • Knowledge of standard office software packages, e.g. Microsoft word.
  • Ability to provide information using courtesy and tact.
  • Good analytical skills, report writing skills and ability to work under minimum supervision, attention to detail and able to multi-task.
  • Excellent communication skills, both written and oral.
  • Good community engagement skills
  • Good presentation skills, Negotiation skills
  • Good training skills, hardworking, calm, mature, logical, culturally sensitive, result oriented and interest in humanitarian development
  • Language: Fluency in written and oral English is a requirement, and ability to speak and understand Kiswahili, Kinyabwisha and Runyakitara will be an added advantage.

Competencies:

  • Ability to work with rural communities, good communication.
  • Interpersonal skills especially for dealing with WFP partners; high sense of responsibility.

Other Specific Job Requirements

  • Exposure to humanitarian and emergency situations is desirable.
