Job Summary:  The Department Assistant provides full scope
Administrative and Secretarial support to the Department Manager and staff.
Key Duties and Responsibilities: 
  • Assists to prepare draft documents, presentations and final written
    business correspondences such as letters, memoranda, meeting minutes using
    computer programs such as Microsoft PowerPoint, word excel, and Vision.
  • Answers and screens telephone calls and appointments for the
    Department Manager, researches and transmits inquiries, distributes mail,
    correspondences, and follows through on responses.
  • Assists to coordinates travel arrangements, meetings, take minutes
    and maintains the schedule of appointments for the department.
  • Maintains the departments filing system; personnel and general files
    and should periodically update and purge of old files as per the
    established procedure.
  • Maintains the department’s database and ensures confidentiality of
    personnel issues and all data.
  • Assists in compiling the departments weekly and monthly reports.
  • Maintains stationery and office supply inventory, petty cash and
    acts as a Liaison for maintenance of the building, facilities and office
    equipment.
  • Assists staff in applying for work and travel documents such as work
    permits, special passes, visas and other travel documents.
  • Performs other duties as required by Supervisor.

Qualifications, Skills and Experience:
  • The ideal candidate for the CNOOC Uganda Department Assistant job
    opportunity should preferably hold a Bachelor’s degree or above in
    Business Administration, Human Resources, Psychology, Accounting &
    Finance, Petroleum Engineering or equivalent.
  • Two years of related working experience.
  • Excellent administrative skills.
  • Good planning and coordination skills.
  • Good knowledge and skills in MS Office, including Word, Excel,
    PowerPoint and Outlook.
  • Good interpersonal skills.
