on poverty alleviation Programs, is registered in Uganda as BRAC Uganda. The
organization implements integrated development approach combining Education,
Health, Agriculture, Livestock, Adolescent Empowerment and Microfinance.
Key Duties and Responsibilities:  
  • The Executive Assistant to the Country
    Representative conserves time by reading, researching and routing
    correspondence, drafting letters and documents, collecting and analyzing
    information and initiating telecommunication.
  • Maintains the CR’s appointment schedule by
    planning, scheduling and coordinating meetings, conferences,
    teleconferences and travel within or out of the country.
  • Ensures the completion of projects by
    following up on results with the departments that directly report to the
    CR and make reports.
  • The jobholder will also manage the leave
    roster for the Country Representative and approve leave requests and
    procurements for the CR’s Office.
  • Manage all travel logistics for the CR’s
    trip including flight booking, online checkins, accommodation and
    transport on arrival.
  • Ensures operation of equipment by
    completing preventive maintenance requirements, follow malfunctions,
    calling for repairs, maintaining equipment inventories and evaluating new
    equipment.
  • Manage both electronic and paper filing
    systems in compliance with applicable record keeping requirements.
  • Welcome guests and clients to the office,
    in person or on the telephone and answers or directs their inquiries.
  • Manage petty cash, make accountabilities
    and requisitions for any office supplies.
  • Actively participate in departmental
    budget preparation and procurement planning for CR’s Office.



Qualifications, Skills and
Experience: 
  • The Executive Assistant must hold a
    Bachelor’s degree in Secretarial and Office management or a related field.
  • At least three years experience in
    Secretarial or related field.
  • Excellent interpersonal skills.
  • Good computer literacy and proficiency in
    applications.
  • Excellent oral and written Communication
    skills.
  • Sensitivity to confidential information,
    discretion and good judgmental skills.
  • Excellent planning and organizing skills.
  • Ability to prioritize activities and work
    independently.
  • High level of integrity and a good team
    player.
  • Tactical skills in dealing with different
    people.
  • Handle correspondence and draft
    appropriate responses.
  • Ability to search for and disseminate
    information.
  • Good shorthand skills.
  • Management skills.
