Job Summary: The Customer
Care Assistant will be responsible for providing logistical support to the
department. He/she will ensure that efficient and effective administrative
routines are implemented. Specifically, this covers the front desk.

Key Duties and Responsibilities:
Manage the Front Desk and the Office switchboard to include:
- Receives, announces and directs visitors
to staff at Office in a courteous manner. As requested, make appointments. - Keeps the reception area in an orderly
manner to include updated reading materials, clean and organised
arrangement, and easy access of visitors to beverages. - Reports and suggests solutions related to
improvement or malfunctioning of the switchboard to the supervisor. - The incumbent receives incoming calls and
places outgoing calls and handle incoming and outgoing correspondences
addressed to Plan International Uganda. - Develops and regularly maintains updated
Office telephone directories; completes telephone logs booked through
reception for outgoing calls booked through the switchboard by indicating
whether they are personal or official. - Reconciles monthly landline telephone
bills, apportion cost as appropriate and request for payments.
Petty Cash Function. Operate the Petty Cash system within established
policies and procedures to include:

Petty Cash Ledger by making entries into the ledger book to ensure that
daily cash at hand reconciles with book balances. - Makes petty cash payments against
accurately completed and approved petty cash request forms. - Requests petty cash replenishment as and
when there are minimum balances and keep safe custody of the petty cash
balances.
Other Logistical function duties:
- Regularly monitors the usage of office
stationery and order for replenishment that is charged according to user
staff as and when necessary. - Makes travel arrangements including
booking flights, hotel accommodation, and car rental for staff. - Organises Plan International Uganda
events, workshops and other related functions as agreed with the
supervisor.
Qualifications, Skills and
Experience:
Experience:
- The ideal candidate for the Plan
International Customer Care Assistant career vacancy should hold a higher
diploma in business or education or another related field. - A minimum of two years of working
experience in a relevant field. - Computer literacy i.e. proficiency in
Microsoft office applications i.e. word, excel and power point. - Ability and willingness to learn and
travel to the field - Very well organised and able to work under
pressure - Excellent interpersonal skills
