The United Nations Department of Field Support, Information and Communications
Technology Division (UN DFS-ICTD) is responsible for the delivery of
applications that satisfy the requirements of the Departments of Peacekeeping
Operations and Field Support (DPKO/DFS) missions as well as Special Political
Missions (SPMs). DFS has implemented a range of systems to address the
principal requirements of peacekeeping operations and to support and enhance
the processes DFS undertakes.  UNOPS has been requested to assist in
the implementation of this activity.
Key Duties & Responsibilities:
  • Performs a wide range
    of office support and administrative functions.
  • Responds or drafts
    responses to routine correspondence and other communications; uses
    standard word processing package to produce a wide variety of documents
    and reports.
  • Assists in monitoring
    processes and schedules related to the unit’s outputs, products, tasks,
    etc.; 
  • Assists in compiling
    and organizing information and reference materials from various sources
    for reports, work plans, studies, briefings, meetings/conferences, etc.
  • Assists in generating
    a variety of standard statistical and other reports, work orders, etc.,
    using various databases.
  • Screens phone calls
    and responds to information requests and inquiries (e.g. answers requests
    requiring scheduled and unscheduled conferences, etc.), and as necessary,
    refers inquiries to appropriate personnel for handling.
  • Maintains
    calendar/schedules; monitors changes and communicates relevant information
    to appropriate staff inside and outside the immediate work unit.
  • Performs data entry
    and extraction functions.
  • Reviews, records,
    distributes and/or processes mail and other documents; follows-up on
    impending actions.
  • Updates and maintains
    distribution lists; monitors, prepares and distributes schedules, reports,
    where possible using electronic formats.
  • Maintains files (both
    paper and electronic) and databases for work unit. 
  • Perform any other
    duties as required.
 Qualifications, Skills & Experience:
  • The applicants should
    have completed high School or equivalent diploma; a first level degree
    highly desirable.
  • All Candidates with
    technical certificates, professional diplomas, and university degrees of
    any level in a relevant field may be recruited with a lower experience
    requirement.
  • At least four years’ experience
    in ICT, administrative services, or video conferencing.
  • Knowledge of video
    conferencing is desirable. Knowledge of MS Office is required.
Language:  Must be proficient in English. Work requires
reading, writing and speaking English.   
Personal Competencies:
Professionalism: Good knowledge
and understanding of theories, techniques and strategies relevant to audio and
video conferencing; Technological background and experience in
video-conferencing systems installation and maintenance.

Communications: Proven ability to write in a clear and
concise manner and to communicate effectively orally. Ability to prepare
reports, articulate options concisely conveying maximum necessary information,
and make and defend recommendations.

Planning & Organizing: Ability to organize, plan and
implement work assignments, manage competing demands and work under pressure of
frequent and tight deadlines.

Teamwork: Works collaboratively with colleagues to achieve
organizational goals. Good interpersonal skills and ability to establish and
maintain effective partnerships and working relations in a multi-cultural,
multi-ethnic environment with sensitivity and respect for diversity.

Technological Awareness: Ability to keep abreast of
available technologies and actively seek to apply technology to appropriate
tasks.
