Job Summary: The Personal Assistant’s primary responsibility
is to organize the manager and assist him maximize productivity. He or She
ensures that the Country Manager’s office is well managed and running
efficiently. If you a highly paced person with strong organization skills,
assertiveness and are goal oriented, this position could be for you.
Key Duties and
Responsibilities:
1. Project Management:
  • From meetings, briefings, action plans,
    team schedules and other sources, record and track Country Manager’s
    projects and tasks assigned to team members using project management and
    tasks software.
  • Maintain a calendar of all tasks and
    follow up each required action ahead of its due date on behalf of the
    Country Manager.
2. Administrative Functions:
  • Daily collection of dashboard reports
    and indicators for the Country Manager.
  • Documentation of routines, procedures
    and reports from time to time.
  • Arranging corporate events on behalf of
    the country office.
  • Implementing administrative directives
    established policies and procedures on behalf of the Manager.
  • Maintain and update corporate contact
    databases and a good filing system and retrieve information as and when
    required;
  • Assist the Country Manager complete time
    sheets and logs; Assist the Manager in timely compilation of monthly
    reports, risk reports and board papers.
3. Secretarial Support:
  • Man incoming correspondence, directing
    what is for the manager’s attention or deflect to team members and track
    as appropriate.
  • Manning the Country Manager’s calendar,
    prioritize and schedule meetings, ensuring the Country Manager is well
    prepared for the meetings; control traffic to the manager’s office;
  • Arrange domestic & international
    travel plans and itineraries
  • Banking and other financial functions on
    behalf of the Country Manager; Manage Country Manager’s official
    expenditures and claims; Coordinate Country Manager’s personal schedules.
4. External Relationship Management:
  • Act as the external contact point,
    providing phone support, screening and follow-up on phone calls
  • Coordinate both on and off-site meetings
    with board members and management – travel planning and other logistical
    support;
  • Perform any other duties as assigned by
    the Country Manager. 
Qualifications,
Skills and Experience:
  • The applicant should possess a
    Bachelor’s Degree in a business field
  • Additional project management
    qualification.
  • At least two years’ experience in
    Project management
  • Office or administrative support
    experience or as a Personal Assistant to a busy manager.
  • Distinction in English language or B+
    and above on A Levels.
  • Secretarial training not strictly
    required but either or 1 year support experience, but might be an added
    advantage.
  • Exceptional knowledge of Microsoft
    Office especially Outlook, Word, Excel, and Project and a knack for
    evaluating online tools.
