Job Title: HR Executive

About BAT:
Our Client BAT Uganda, in the FMCG industry is seeking to recruit a
result-driven and self-motivated candidate to fill the vacancy above.
Job Summary: The HR
Executive will support the Uganda team in providing HR services, aiming at the
application and delivery of HR transactional processes and policies which
enable the Human Resource Function to deliver and achieve its objectives in a
seamless manner.
Key Duties & Responsibilities:
1. Operations/Professional/Business
  • Provision of support
    in the administration and coordination of company climate Surveys
    including pre and post processes.
  • Provision of support
    in the operational reward processes including all pay and benefits data,
    leave data for Local staff and International Assignees.
  • Delivery of a timely
    and accurate Payroll for BAT Uganda and Big Ben Tobacco Congo including
    adequate capture of staff changes (Promotions, location changes, exits
    & entries), accurate cost center information and adherence to monthly
    payroll schedules.
  • Management and control
    over contractor’s schedules and appointments to ensure that appointment
    forms and terminal benefits are prepared in time.
  • Ensuring all employees
    data is correctly captured in the relevant HRIMS for management
    decision-making, namely ENABLE, TalenT and Employee Vendor Management
    systems.
  • Administration of the
    IA on boarding processes in liaison with the HRSC including administration
    of pay benefits, relocation and settlement in accordance with the global
    mobility policy.
  • Capturing and
    processing all departmental invoices into the SAP system on time in full,
    ensuring timely payment in accordance with finance and procurement
    requirements.
  • Management and
    coordination of employee motivational schemes including forums like staff
    birthday celebrations and MDs breakfast.
  • Management of Human
    Resource department services suppliers in the employee benefits sector
    namely; canteen, medical and immigration, inclusive of supplier
    performance monitoring and evaluation.
2.  Management
  • Management of the 3rd party
    outsourced company in ensuring that all staff information/employee files
    are up to date at all times and records are properly kept.
  • Provision of support
    in the preparation of staff letters for all movements and dispatch of the
    same before announcement to the business.
  • Provision of support
    in the preparation of monthly reports and employee statistics in the HFN
    system.
  • Maintenance and upload
    of HR Policies and procedures, contracts onto the approved databases (GSI
    & Upside) whilst supporting the tracking of necessary updates at the
    appropriate time.
  • Management of the
    Leave process, ensuring that leave schedules are available for all staff
    and accurate leave records are captured in the system for accurate leave
    reporting on a monthly basis.
  • Provision of support
    in the management of relevant HR communications, HR Notices and
    Information.
  • Provision of support
    in the functional Budgetary process and control/governance environment in
    ensuring that all budgetary items in area of control are within spend and
    appropriately budgeted for.
  • Management of
    departmental Records whilst ensuring compliance to the Record Management
    Policy, processes and procedures.

    with and supporting the HRSC in the delivery of transactional HR services.
4. Relationship
  • Build effective
    working relationships with all employees and line managers in BAT Uganda
    and actively engage with clients to ensure they are satisfied with service
    provided.
  • Establish and maintain
    effectively and productive relationships with peers in all functions and
    HR suppliers in order to improve our combined service and to share
    knowledge and learning.
  • Maintaining effective
    communication across internal and external service providers (including
    pension service providers, recruitment agencies, training suppliers)
    ensuring smooth workflow processes.
5. Innovation
  • Undertake initiatives
    that improve the lead time and reduce costs of HR processes.
  • Active involvement
    and/or initiation of HR Team meetings and activities aimed at improved
    delivery of services within the function in alignment with BAT Uganda
    culture and best practices.
     
Qualifications, Skills & Experience:
  • University degree in Social Sciences or Business Administration
  • Minimum 2-3 years working experience in a multinational organization preferably in FMCG context.
  • Understands Business;
    understands client needs by actively listening, informing and ensuring
    speed and efficiency of delivery
  • Influences and Builds
    Relationships; builds constructive relationship within HR Department and
    employees leading to increased support to strengthen the credibility and
    perception of the role of HR in the organization.
  • Process and Service
    Deliver; effective and efficient delivery of services to employees
  • Reward; understands
    and applies reward strategies through pay and benefits administration and
    managing international Assignees pay benefits
  • Ability to deliver
    results on time to the requisite quality.
  • Familiar with key HR
    processes such as recruitment and selection and reward practices.
  • Strong interpersonal
    and communication skills.
  • Experience in working
    with HR Systems, MS Office Suite
