Key Duties and Responsibilities:

  • Support the Station Manager to implement IITA HR policies and procedures and provide guidance and advice to staff in the interpretation of IITA HR policies and procedures, ensuring compliance with Uganda labour law.
  • Support the Station Manager in reviewing staff employment entitlements and benefits in compliance with Uganda labour law, and when applicable, make recommendations to the Station Management of alignments that need to be taken into consideration within the IITA policies.
  • Coordinate NRS, STS, and casuals’ recruitment and engagement processes, managing and maintaining all related documentation on recruitment files.
  • Maintain accurate and up to date employee records in the physical personnel files and the online system (Dynamics) including personal information, attendance, and performance evaluations.
  • Facilitate the on-boarding and induction processes for new hires, ensuring a smooth integration into IITA.
  • Facilitate and coordinate staff exit processes ensuring that all relevant reports and forms are duly completed, approved, and copies filed on personnel file as well as submitted to accounts for clearance as applicable.
  • Support the Station manager in processing monthly payroll and ensure accuracy of staff benefits and deductions entered in the system.
  • Assist in organizing and conducting employee training and development programs.
  • Support the Station Manager to implement approved employee wellness and wellbeing activities and promote health and safety at the workplace.
  • Generate reports and analyze HR Metrics and share with the station Administrator to support decision making and monthly reports to HQ.
  • Inform the Station Manager about changes in labour laws and HR Best practices to ensure compliance.
  • Liaise with the labour offices and other HR-related agencies as may be requested by the Station Manager from time to time.
  • Assist the Station Manager to arrange and coordinate general staff meetings.
  • Coordinate staff-related insurance matters, including liaison with the insurance service provider, maintaining the insurance file, following up on claims, management of the medical insurance systems, etc.
  • Support the Station Manager in the coordination of the Annual PAR process for NRS at the station, including filing of hard copies to personnel files.
  • Represent P&C in committees set up in the resolution and management of staff conflict as may requested by the Station Manager from time to time.





Qualifications, Skills and Experience:

  • Bachelor’s degree in human resources management, or other related discipline is required
  • Possession of a human resources management professional certification is an added advantage.
  • At least three years of experience in a similar role.
  • In-depth understanding of the law governing employment of staff in Uganda is essential.
  • High Level proficiency in MS Office and Human Resources Information Systems and applications
  • Strong Organizational and multitasking skills with attention to detail
  • Excellent communication and interpersonal skills.
  • Proven competence in collaborating with senior staff and stakeholders
  • Ability to handle confidential information with discretion.
  • Familiarity with the labour laws and regulations of Uganda
  • Proactive and able to work independently as well as part of a team.
  • Understanding of diversity, equity, and inclusion principles in HR
