Job Summary:   The External Events Coordinator is responsible for coordinate all aspects of event planning, including conceptualization, event branding, stake holder management, timelines, location, coordinating and overseeing event marketing campaigns, production and reports etc. With support from the general manager, this position will also support event sales and communications, sponsor engagement, and financial management.

 

Key Duties and Responsibilities:

  • Collaborate with promoters and other stake key holders to conceptualize, plan and execute profitable events at the hotels
  • Manage event budgets and timelines to ensure events are completed within budget and on time.
  • Ideation and conceptualization of highly customized events with the support from all key departments such as marketing and operations
  • Develop and implement event calendar and trackers and keep the team aware of the upcoming events
  • On-board celebrity partners for event collaboration in different capacities
  • Communicate effectively with stake holders such as promoters, DJs, influencers, clients to ensure everyone is on the same page and that events run smoothly.
  • Take charge of all event logistics ranging from ticketing, controls, production, F&B offers to furniture and any other amenities
  • Coordinate all aspects of event planning, including location, vendors, catering, decor, and entertainment.
  • Collect customer feedback and ensure proper service recovery where needed
  • Work with the marketing department to develop event marketing strategies including on boarding influencers and oversee the implementation of
  • Manage other event logistics, including production and setup, scheduling, and coordination, parking, transportation, and security for events.
  • Write and present post-event reports
  • Provide excellent customer service to clients and attendees, responding to questions and concerns in a timely and professional manner.
  • Conduct site visits and attend rehearsals to ensure all aspects of the event meet the client’s expectations.
  • Work with the HR department and ensure proper staffing for event-service
  • Stay up-to-date on industry trends and best practices in event planning, and incorporate new ideas into event planning as appropriate.

Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor’s degree in any field or a diploma in hospitality, or any other entertainment field with at least 7 years industry experience
  • 5 years of experience in organizing entertainment events such as concerts, exclusive shows etc
  • Knowledge of the entertainment sector and showbiz is required
  • Experience dealing with celebrities within and outside the country is a MUST
  • A huge social media following (50,000 followers combined) is an added advantage
