Job Summary:   The Senior Finance officer is responsible for maintaining the completeness and accuracy of the financial data ensure the integrity of the balance sheet, manage the Accountants (4), cashier (1) and support the field office accountants. They will interact with the Senior Finance office, reporting to ensure accurate management information to project managers

 

Key Duties and Responsibilities:

Financial management and reporting

  • Act as the first point of contact for all payment queries.
  • Assist the SFO, Reporting with queries relating to project accounts.
  • Review the entries of all payments and receipts into the GL.
  • Prepare accurate and timely monthly, semi-annual and annual financial reports for relevant stakeholders
  • Review and analyze sun system reports and Financial Reports, Advances & Payable aging on monthly basis and share with management
  • Check petty cash each month with the Accountants Cash (responsible for spot checks)
  • Process automatic payment to staff by the 20th day of the month (or nearest working day)
  • Make sure that the salary control account is reconciled and payroll liabilities (NSSF & PAYE) are paid every month
  • Liaise with the Bank for fair rates, negotiate and deal an exchange rate which favors WV
  • Review accounts payable reports every week and resolve any outstanding items.
  • Timely submission of invoices to Shared Service, timely action on queries and follow up on any pending invoices
  • Review all outstanding advances with Accounts Assistant and ensure timely clearance

Risk management:

  • Prepare monthly reconciliations of the cash, Bank and Advance accounts every month.
  • Monitor Bank accounts daily and ensure all deposit extracts are sent to Accountant, reporting to prepare deposit in sun system and submit ledger import to share point.
  • Accurate and timely payment of statutory returns to URA & NSSF.
  • Review and approve payments in a timely manner (E-banking and mobile money)
  • Ensure proper filing system for all financial transactions in place
  • Ensure all transactions are adequately supported by backup documents before payment is made

Financial planning & budget management:

  • Participate in annual planning and budgeting process
  • Participate in semi-annual budget review meetings and take appropriate actions in budget amendments in Sun systems ledger.
  • Review all purchase requests and payment requisitions against approved budgets
  • Review all PROvision requests to ensure proper coding of invoices to appropriate accounts, to facilitate timely payments minimize integration errors & reconciling accounts
  • Ensure all the Projects/National office spending is done as per the approved budget and activities to ensure no overspending occurs and under spending is within acceptable limits.
  • Ensure timely monthly cash funding request that is in line with implementation plans & ensure that the office operates within acceptable minimum cash target Low

Staffing:

  • Manage the Accountants who deal with cash and AP.
  • Assist to support SFM /FSSD in managing banking relationships and resolving issues with our Bankers in a timely manner
  • Support month and year end close process and audit processes.
  • Build capacity of the staff as well as non-financial staff in financial management
  • Conduct orientation on finance and finance policies to newly hired staff




Qualifications, Skills and Experience:

  • The applicant for the World Vision job must hold a Bachelor’s Degree in Business Administration, Commerce, and Accounting.
  • Five years of relevant technical and business work experience Motivate staff and inspire staff engagement for increased productivity
  • Accounting Certification
  • Experience of working in the field(communities) Previous working knowledge and experience of SUN accounting software Experience in training and developing
  • Excellent computer skills with high proficiency in Microsoft excel, Leadership skills
  • Knowledge of NGO donors and their financial reporting requirements Good interpersonal and communication skills.
  • Positive attitude and attentive to detail Very good computer skills in Excel & Sun-systems software.
  • Ability to work both independently and in conjunction with other team members to achieve common objectives
  • Finance staff additional professional qualifications
  • The position requires ability and willingness to travel domestically and internationally.
