Job Summary:   The Finance manager shall be responsible for providing a balanced combination of administration and financial management support to our team. We are looking for a candidate that shares our commitment to understand, care, and guide internal financial controls involving compliance to internal policies, statutory obligations, risk management and procurement management. The Finance Manager is expected to demonstrate a high level of integrity, ethics and impartiality and will abide by the company’s Code of Conduct.

 

Key Duties and Responsibilities:

Finance:

  • Maintain the company’s accounts in the QuickBooks accounting system ensuring a relevant Chart of Accounts is maintained.
  • Ensure all company transactions are entered in EFRIS and reconciled.
  • Conduct customer assessments for credit worthiness and handle negotiations for discount offers and terms of payment.
  • Assist the CFO in coordinating statutory audits and grant project audits; liaise with auditors and provide all necessary information as required.
  • Participate in reviewing audit reports and audit management letters and in liaison with CFO resolve all non-conformances.
  • Participate in reviews and amendments of the Finance manual and SOPs to be followed in the finance department.
  • Perform unit price reviews in liaison with Heads of departments through input cost assessment.
  • Assist in the annual budgeting process.
  • Review outgoing client contracts, quotations and tax invoices for accuracy.
  • Carry out timely and accurate bank and cash reconciliations.
  • Compile, post and submit statutory tax obligations for VAT, PAYE, WHT, NSSF and LST in a timely manner.
  • Petty cash management; overseeing and approving all petty cash expenses and all replenishments.
  • Oversee the updating of debtors and creditors ledgers through monthly reconciliations and follow up the outstanding debtor payments on a monthly basis.
  • Keep a proper filing system by sorting, organizing and scanning all supporting documents and correspondences related to projects and company accounts.
  • Prepare monthly payroll for staff and non-executive directors.

Procurement:

  • Follow up on all suppliers to ensure due diligence of documentation to meet procurement procedures.
  • Perform supplier evaluation in relation to timelines of deliveries, quality of products, price and credit extensions on a yearly basis and when acquiring a new supplier or service provider and negotiate for favorable terms.
  • Source for suppliers and service providers both locally and internationally
  • Oversee inventory management and evaluating stock orders.
  • Ensure timely payment of suppliers and maintain open and frequent communication

Management:

  • Supervise the Accounts & Procurement Assistant, Administrative Assistant and Finance intern.
  • Set KPIs in consultation with the team and ensure everyone is aware of the performance expectations.
  • Lead the team to complete tasks and meet the goals, continuously monitor team progress and undertake annual performance evaluation.
  • Mentor members of the team so that they are able to improve their job skills and reach their full potential.
  • Any other duties as may be assigned from time to time.




Qualifications, Skills and Experience:

  • The ideal applicant should have technical Qualifications: CPA, ACCA
  • Practical experience in using Advanced Excel and financial accounting packages such as Quick books
