Job Summary:  The Business Support Assistant (Logistics) role reports directly to the Logistics Officer, based in kampala and working closely with other functional units and Area offices.  The Business Support Assistant (Logistics) will provide administrative support to the Unit and the timely capturing of Partner data backlogs and daily transactions to ensure all partner’s records are up to date, respond to queries and manage service invoices in accordance with the operational procedure.

 

Key Duties and Responsibilities:

  • Manage correspondence to internal requests (inquiries) to the Logistics Unit.
  • Facilitate travel arrangements and protocol-related support to unit staff, maintain and share information, to contribute to the provision of a safe and comfortable working environment.
  • Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
  • Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
  • Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources.
  • Provide support to Bilateral Service Provision activities, following standard processes and facilitating, directly or indirectly, the effective delivery of services to Partners.
  • Respond to a variety of technical queries/requests for support, following standard processes, and obtain guidance as required, to ensure timely and accurate resolution of all inquiries with a high standard of a client service mindset.
  • Monitor Partner and WFP’s Strategic Inventory management processes to track trends and account for the inventory status from source to the beneficiary.
  • Collect and compile data, produce and/or contribute to reports (e.g., SPRs, financial closure, physical inventory,) and ensure information accuracy in corporate systems in support to informed decision-making.
  • Provide human resource administrative support in collaboration with the Human Resources function.





Qualifications, Skills and Experience:

  • The ideal candidate for the United Nations World Food Programme (WFP) Business Support Assistant (Logistics) job must hold a Bachelor’s Degree in Business Administration, Public Administration or a related field from a recognized academic institution.
  • Five years of progressively responsible work experience in general administrative work.
  • Excellent writing and reporting skills.
  • Ability to develop and maintain relationships with a range of individuals in order to provide a high-quality support service.
  • Ability to carry out basic data analysis and independently rectify problems requiring attention.
  • Ability to monitor and record financial transactions.
  • Good communication skills required to give and receive information and work with a variety of individuals.
  • Ability to maintain confidentiality.
  • Language: Fluency (level C) in the English language (both oral and written communication).
