About US:

The UVRI-IAVI HIV Vaccine Program (the Program), founded in 2001, is a not for profit organization with offices and research facilities based at the Uganda Virus Research Institute in Entebbe.  The Program’s main activities are conducting research, building capacity and providing advocacy for HIV/AIDS vaccine as well as molecular and epidemiological work toward HIV prevention. The Program is mainly funded by the International AIDS Vaccine Initiative (IAVI), USA but also receives funding from other donors.

 

Key Duties and Responsibilities:

  • Support the HRAM in the recruitment and selection processes
  • In liaison with Accounts, prepare monthly payroll and forward to HRAM for review.
  • Coordinate staff enrolment on medical cover, GPA and any other insurance related covers that the Program may deem fit.
  • Facilitate the completion of compensation and benefit documentation such as banking details, NSSF forms, Medical Forms, Provident fund enrolment etc.
  • Coordinate all appraisals that range from probation assessment to end of year assessments.
  • Supervise and manage the receptionist and welfare Assistants.
  • Work with the HRAM to identify training needs from the appraisal process and update the training plan.
  • Manage and maintain current HR files and data bases.
  • Support the HRAM in providing relevant documents during the audit.
  • Maintain records related to grievances, performance reviews, and disciplinary actions.
  • Coordinate the finalisation of the exit process by supporting staff to complete the necessary paper work such as; Exit Interviews, end of contract discharge forms.
  • Ensure the presentation, dissemination, classification and archiving of administrative and Human Resources
  • Manage day to day staff grievances and disciplines.
  • Coordinate leave management and keep track of the leave utilisation schedules.
  • Receive and consolidate individual timesheets for review by the HRAM.
  • Support the Director on the day to day scheduling of his/her activities




Qualifications, Skills and Experience:

  • The ideal candidate must hold a university degree in either Human Resources, Organizational Psychology, Business administration
  • with a bias in HR Management or any other related course.
  • At least two years’ generalist experience in a similar position
  • Knowledge of recruitment, on boarding and staff development
  • Demonstrated skills in administration and human resources
  • Excellent computer skills including MS Word, Excel, PowerPoint and Outlook
  • Ability to present information effectively; experience providing training and staff development is a plus
  • Good analytic skills and ability to settle disputes.
  • High degree of flexibility to adapt to changing requirements; must be able to work independently while being a strong team player;
  • Strong skills in collaboration with multi-cultural and diverse teams
  • A team builder with excellent people skills; must be culturally sensitive
  • Commitment to consistently improving and developing innovative HR solutions in response to HR/organizational
  • Program challenges
  • Excellent organizational, interpersonal skills
