Project Background: 

The Social and
Behavioral Change Activity (SBCA) is a five-year program implemented through a
cooperative agreement between the United States Agency for International
Development (USAID/Uganda) and Johns Hopkins Center for Communication Programs
(CCP). The vision of USAID’s Social and Behavioral Change Activity is a Uganda
where individuals and communities are not just healthy, but resilient,
supported by strong adaptable systems and institutions to lead productive
lives. The SBC Activity supports the Government of Uganda (GoU) and US
government (USG) implementing partners to design and implement Social and
Behavioral Change (SBC) communication initiatives that   contribute towards reduction in Maternal and
Child mortality, Malaria prevalence, Total Fertility rate, new HIV infections,
TB prevalence and improved Nutrition out comes, resilience and improved SBC
systems and expertise. 

Job Summary:   The
Receptionist will be in charge of the front office desk/reception and manage
both external and internal communications while aware of promoting the image of
the organization at all times. He/she will provide support to the
administrative function at the country office. He/she will directly report to
the Senior HR & Administration Manager.

Key Duties and Responsibilities:  

·       
Maintain
the Front Desk/Reception area’s upkeep and daily presentation by organizing the
space and notifying the housekeeping personnel of ad hoc cleaning needs.

·       
Greet
visitors with a positive, helpful attitude.

·       
Assist/direct
visitors in finding their way around the office.

·       
Announce
visitors to staff as necessary.

·       
Help
maintain workplace security by issuing, checking and collecting badges as
necessary and maintaining visitor logs.

·       
Answer
phones, route calls and ensure office land and mobile lines are operational at
all times requesting maintenance or repair through Admin office.

·       
Screen
all incoming and outgoing calls, transferring them as required.

·       
Receive
office and project mail and packages; register receipt, sort and distribute
mail and packages to recipients.

·       
Arrange
for courier services when needed and manage postage meter account.

·       
Provide
support to receiving deliveries of supplies and materials by confirming goods
receipt against invoice or contract specifications.

·       
Update
staff contact list when required.

·       
Provide
support of travel, transport and external workshop/conference/training
logistics when requested.

·       
Provide
support and necessary information to visitors conducting organization or
program-related business including travel, accommodation, transport and country
guidance.

·       
Conduct
basic administrative functions like photocopying, scanning official documents
as required.

·       
Arrange
for in-office business meetings and workshops including refreshments and
catering as required and reserving conference space.

·       
Maintain
and disseminate schedule of in-office conference space reservations.

·       
Assist
colleagues with administrative tasks.

·       
Performing
ad-hoc administrative duties.

·       
Provide
excellent customer service.

Qualifications, Skills and Experience:

·       
Five years
of experience with administrative and clerical procedures.

·       
Honest,
organizational skills and the ability to work in a team-oriented environment.

·       
Good
customer service skills.

·       
Ability
to work well with others.

·       
Fluent
in English, both written and spoken

·       
Consistent,
professional dress and manner.

·       
Excellent
written and verbal communication skills.

·       
Intermediate
competency in Microsoft Word and Outlook or other e-mail applications, beginner
competency in Excel, as well as other online and electronic resources needed to
complete routine tasks.

·       
Good
time management skills.

·       
Able to
contribute positively as part of a team, helping out with various tasks as
required.

Desired:

·       
Experience
having supported USAID-funded projects.

·       
Diploma,
college certificate or university degree in secretarial studies,
administration, accounting or any related field.
