Job Summary: The transport assistant provides safe and reliable transportation of project staff, visitors and materials, keeps the project vehicle /sin good mechanical and functional condition and ensures compliance with all vehicle related legal and institutional/management requirements.


Key Duties and Responsibilities:  

·        To provide safe, comfortable and reliable transportation for Institute staff and partners/ visitors including but not confined to, travel within and outside Kampala, and all other locations as maybe required by authorized staff on Institute business.

·        This includes ensuring that safety belts are worn at all times, there is no smoking in the vehicle and that no alcohol is consumed before driving etc…

·        To transport the Institutes materials and supplies to various destinations as required by authorized staff on Institute business.

·        To deliver mail and materials as well as any other written or verbal communication to and from locations designated by authorized staff.

·        To keep the Institute vehicle in good mechanical and functional condition includingbut not confined to regular fueling, servicing and cleaning of the interior and exterior.

·        To perform regular preventive maintenance and minor repairs where possible.

·        To notify the Finance and Administration Assistant of any major car repairs necessary and to assist in arranging and overseeing/ supervising such repairs.

·        To ensure that all required documentation for administrative use such as mileage,fuel usage and trip authorization tracking information is kept up to date at all timesin the prescribed manner.

·        To ensure that all legal, institutional and local government requirements and dues are met in good time and / or regularly renewed e.g. Third party and Comprehensive Insurance, Parking Fees, Registration and License set c…

·        To ensure that all reasonable measures are taken to protect the Institute vehicle from theft or damage e.g  by ensuring that it has adequate security and accident features such as alarms and “bullhorns”

·        To run general Institute errands and assume other duties as assigned by the Finance and Administration Assistant to ensure the sound functioning of the office and achievement of project goals.


Qualifications, Skills and Experience:

·        The applicant for the Infectious Diseases Institute (IDI) Locum Transport Assistant job must hold UACE and UCE certificates

·        Level of Permit-class DM & DL

·        At least two years of experience working in a public, private sector or international NGO environment

·        Good communication skills

·        Ability to work with in a team environment

Job Summary: Under the supervision of the Finance and Administration Officer Programme Officer, the driver will be responsible for driving authorised personnel, delivery, and collection services.


Key Duties and Responsibilities:  

·        Drives office vehicles for the transport of authorized personnel.

·        Collects and delivers mail, and other communications from and to the post office, government agencies and other institutions.

·        Responsible for the day-today maintenance of the assigned vehicle, check oil, water, batten}, brakes, tyres etc., performs minor repairs and arranges for other repairs to ensure that the vehicle is kept clean.

·        Logs all trips, daily mileage, gas consumption, oil changes and greasing etc.

·        Ensures that in the event oi an accident, SFEA rules/ policies and traffic regulations are followed.

·        An agent to the banks i.e, delivery of documents to the banks, withdrawal. and depositing cash from and to the Si accounts as instructed by the Finance team.

·        Getting quotations from suppliers for the office requirements.

·        Delivering of cheques to suppliers/service providers and getting the receipts.

·        Carly out banking/financial and other office out-door messengerial duties.

·        Packs material received for dispatch, affixes label, inserts material in envelopes and franks outgoing mail.

·        Other office duties such as photocopying, faxing, scanning, relieving at the reception, handling of in-coming/outgoing telephone calls, screening of visitors, etc.

·        Monitor and report in time, expiry of motor vehicle road license and third

·        party insurance.

·        The candidate must adhere to the safeguarding reporting and monitoring requirements of this role.

·        The candidate must possess a certificate in defensive driving from an established driving school/firm.


Qualifications, Skills and Experience:

·        A minimum of ‘O’ level pass.

·        A valid driving licence of at least class B.

·        A certificate in defensive driving. -

·        A minimum of 3 years‘ experience in a busy office especially in the NGO set up.

·        Be fluent in English Language, written and oral and a good command of local language.

·        Cautious with defensive driving skills.

·        Presentable with excellent interpersonal skills.

·        Must be a person with initiative and high moral integrity.

·        A good team player.

·        Ready to work for long hours.

·        Drive project vehicles to give service to Staff as required and given schedule by the Assistant Logistics Officer

·        Carry out basic security checks on the vehicles that he/she uses before starting driving and at the end of the day. (Battery water, fuel & oil levels, radiator water, Tyre pressure condition, etc.)

·        Ensure the vehicle meets the maintenance schedule and should inform the Assistant Logistics Officer of any faults as and they occur

·        Maintain neat & accurate records of all journeys in the vehicle logbook.

·        Carry out the daily vehicle check and inventory.

·        Report immediately any damage or accident to the Assistant logistics Officer correct procedures in the case of the accident, incident or complaints

·        Responsible for the collection. storage, transport and final delivery of all goods in his/ her vehicle


Qualifications, Skills and Experience:

·        A Minimum of valid driving licenses -A, B, DL

·        Good command of the English language

·        Willing to travel to remote areas and to camp in the field,

·        Ability to work flexibly including weekends and willingness to travel and work in rural locations and live in basic conditions.

Admin Logistical support:

·        Observe and adhere to the safety precautions before and during driving taking into account prevailing weather and driving conditions to avoid accidents.

·        Maintain punctuality and courtesy and adhere to traffic laws and regulations, and to Plan policies and procedures.

·        Record the place of destination before departure and complete the vehicle usage record to indicate vehicle movement.

·        Conduct monthly inspection of the assigned vehicle and inform the supervisor of any observation that needs attention.

·        Serve as the contact person for vehicle repairs and servicing and review invoices and services reports before they are submitted for payment.

·        Deliver and collect mail and other documents to and from various offices, post office regularly and ensure its safety as and when requested.

·        Train and test drivers and riders as may be requested, and submit recommendation to the supervisor.


Qualifications, Skills and Experience:

·        The applicant for the Plan International Driver job must hold an O’ level certificate of education

Key Duties and Responsibilities:  

To drive passengers and goods safely to their destinations, always complying with the laws of Uganda, FSDU policies and procedures and best practice in customer care

·        Drives FSDU vehicle with due care and safety, considering prevailing weather and road conditions to avoid accidents.

·        Transports staff and partners to scheduled destinations.

·        Ensures that punctuality and courtesy are always maintained.

·        Reports faults and accidents immediately to the Office Administrator.

·        Ensures that the driver's seatbelt and those of the passengers are fastened before starting to drive.

·        Strictly drives the vehicles to approved destinations.

·        Ensures that the vehicle keys are always under safe custody to avoid duplication and theft.

·        Ensures that the vehicle has a valid license, insurance stickers and perfect tyres

·        Compiling the monthly journey log sheet and fuel consumed.

·        Giving attention to the physical well-being of passengers, providing comfort brakes and other assistance as required; always treating all passengers with courtesy and friendliness.

·        Drives carefully and safely in accordance with the traffic laws i.e., Obeys traffic laws and regulations.

To ensure that FSDU's vehicles are in good condition, mechanically sound and safe to drive    

·        Carries out minor maintenance including filling oil, water and air before vehicles are driven.

·        Identifies and reports all major mechanical faults identified on the vehicle.

·        Ensures that the vehicle is always kept clean to uphold the image of FSDU and for the convenience of the users.

·        Conducts daily inspection of the assigned vehicle to ensure it is in good condition; records any problem requiring future action in the vehicle check list.

·        Supervises cleaning and repairs of vehicles at the washing bay and at the garage.

·        Ensure the vehicles are equipped with all necessary breakdown and safety equipment and at such are working in good order.

Provision of support to administrative function     

·        Deliver documents as directed by the Office Administrator.

·        Collecting ordered office supplies and consumables

·        Support with loading and offloading of goods or luggage.

·        Provision of support at the front desk by answering, screening, and routing calls.

·        Checks the level of the fuel in the generator and requests for refills.

·        Assists with event/ workshop setup, branding, and storage of branding materials.

·        Assists with participants registration at events.

·        Takes pictures during field visits and at events when called upon.

Others: Any other duties as requested by the supervisor


Qualifications, Skills and Experience:

·        The applicant must hold an undergraduate degree

·        Valid Driver's license with no penalties

·        Certificate in Defensive Driving

·        At least eight years of previous driving experience with another reputable organisation

·        Satisfactory medical and eye tests

·        Excellent defensive driving skills and track record of safe vehicle operation

·        Excellent customer service and self-presentation
