Finance and Administration Officer Jobs - International Women's Coffee Alliance (IWCA)

The International Women’s Coffee Alliance (IWCA) Uganda Chapter is part of a global network of self-organized, self-governing women aimed at advocating for the reduction of barriers for women in coffee producing countries by providing access to resources while creating a forum through which women connect with others throughout the coffee value chain. IWCA Uganda Chapter started in 2010, with the goal developing a strong and visible network of women in the coffee industry who can share their experiences, resources and contacts with others throughout IWCA chapters in producing and consuming countries.

Key Duties and Responsibilities: 
Budgeting and Budget monitoring
  • Provide support in preparation of budgets and work plans for IWCA Uganda Chapter.
  • Regularly monitor budget and cash-flow management by ensuring expenditures are within the budget limits, identify and provide variances explanations for Management or Board decision making.
Financial Reporting
  • Prepare general ledger account analysis and reconciliations
  • Prepare and maintain books of accounts
  • Prepare financial statements and reports accurately and within set time frames
Banking and Bank reconciliation
  • Coordinate the Chapter's banking transactions.
  • Manage the bank account and ensure timely and accurate bank reconciliations.
Petty cash management
  • Prepare petty cash vouchers and reconciliations.
  • Adequately manage petty cash and account for it.
Audits and Financial records
  • Prepare reports, schedules and other documents required for both internal and external audits. Prepare and file supporting documents for all accounting transactions.
Procurement and Asset Management
  • Offer technical support in the procurement of goods and services for the Chapter including sourcing of quotations, evaluation of quotations, preparing Local Purchase Orders and Goods Received Notes.
  • Maintain the Chapter's asset register.
Logistical Support
  • Plan and provide logistical support for the IWCA Uganda Chapter Office and other fora such as meetings, workshops and training events.
  • Facilitate processing of travel documentation or transport logistics for Staff and Stakeholders as and when necessary.
  • Support preparations for meeting and take minutes when necessary.
  • Perform any other duties as may be assigned from time to time.

Qualifications, Skills and Experience: 
  • The ideal candidate must hold a Bachelor’s degree in Business Administration, or Commerce, or Accounting, or related field
  • A minimum of three (3) years of working experience in a finance and accounting role.
  • Good team player.
  • Work independently as well as collaborates with others.
  • Analytical. Ability to quickly assess and analyse problems and develop solutions.
  • Organized. Ability to work under pressure and within deadlines. 
  • Proficient in Microsoft office.
  • Knowledgeable in accounting principles and methods.

War Child Holland (WCH) is an International non-profit organization that has been working in Uganda since 2004, mainly in the Lord’s Resistance Army (LRA) affected areas. As the situation in Uganda has stabilized, WCH has closed its programs related to the LRA conflict and started a refugee response program in early 2016 in the West Nile region, offering psychosocial support to children, young people and families in the refugee and host communities. In addition to psychosocial support, the country office is in the process of establishing education projects with partners.

Key Duties and Responsibilities: 
Responsible for petty cash management
  • Responsible for making petty cash payments as per authorized requests.
  • Responsible for entering all petty cash transaction using WCH bookkeeping.
  • Assist  in bank withdrawals and money exchanges and other financial issues as requested by line manager.
  • Receive daily cash advances and account for balances weekly.
  • Responsible for compiling payments for field facilitators.
  • Make payments of salary, benefits and overtime for temporary staff.
  • Provide support in general administration and logistics tasks
  • Responsible for planning and scheduling daily office travel plans, recording of these in the movement plan and movement chart, and report security issues related to the planned movements.
  • Responsible for planning transport, booking of hotels and flights for staff/visitors.
  • Ensures staff/visitors receive all the necessary travel information such as welcome notes, health alerts etc before the travel dates.
  • Ensure staff /visitors receive mifi’s/phones in case needed.
Asset and store management
  • Receive and issue all office assets and store supplies.
  • Responsible for the management of the office store.
  • Maintain the store accounting as per the asset and store management manual..
  • Prepare the monthly store stock taking sheet and submit to the Logistics Officer.
  • Responsible for office stationary stocks and record keeping.
Managing the reception
  • In-charge of the office telephone line and ensuring all telephones are responded to or transferred to the right persons.
  • Welcome and direct all visitors to respective offices and ensure all letters/parcels and cargo are received and delivered to the right people.
  • Ensure the reception area is always clean and welcoming.
  • Plan and coordinate the use of conference/meeting room;
  • Support the team in recording minutes during meeting, scanning, printing, and binding works.
  • Support in organizing workshops and trainings.
  • Support in archiving of project documents as requested.
  • Perform any other duties assigned in fulfillment of the tasks.

Qualifications, Skills and Experience:

About US:
Following the signing of the Lusaka Ceasefire Agreement in July 1999 between the Democratic Republic of the Congo (DRC) and five regional States (Angola, Namibia, Rwanda, Uganda and Zimbabwe) in July 1999, the Security Council established the United Nations Organization Mission in the Democratic Republic of the Congo (MONUC) by its resolution 1279 of 30 November 1999, initially to plan for the observation of the ceasefire and disengagement of forces and maintain liaison with all parties to the Ceasefire Agreement. Later in a series of resolutions, the Council expanded the mandate of MONUC to the supervision of the implementation of the Ceasefire Agreement and assigned multiple related additional tasks.

Key Duties and Responsibilities: Within delegated authority, the Assistant Supply Officer will carry out the following duties:
  • Provides support to senior staff with respect to the provision of support service contracts.
  • Examines criteria for contract proposal evaluation
  • Provides background information on contractor's claims to facilitate the full evaluation of such claims.
  • Carries out preliminary examination of OIOS reports and prepares background information needed for reply.
  • Examines contract payment data from missions to ensure contracts are operating within specifications.
  • Ensures that appropriate action is taken with respect to the formulation of service contracts. ~ Assists in the overall receipt and processing of mission shipments on a dailbasis.
  • Maintains accurate and complete records with respect to all equipment and stores received, stored and distributed by the mission.
  • Reviews delivery manifests and purchase orders tor accuracy and completeness, undertakes appropriate follow-up actions.
  • Assists in the preparation of Receiving and inspection(R%l) reports for submission to Procurement Unit.
  • Monitors procurement cases.
  • Performs any other related work as required

Qualifications, Skills and Experience:
  • The ideal candidate for the United Nations Regional Service Centre Entebbe (RSCE) Assistant Supply Officer job placement should hold an Advanced university degree (Masters degree or equivalent) in operations and supply chain management, logistics, business administration/management, warehousing or related field is required.
  • A first level university degree in combination with a minimum of 2 years’ experience in operations and supply chain management, logistics, business administration/ management, warehousing may be accepted in lieu of the advanced university degree.
  • One year of experience in supply services, administration, logistics or related area is required.
  • In case of a Bachelor’s Degree a minimum of two (2) years progressively responsible experience supply services, administration, logistics or related area is required.
  • Experience in good computer skills, including: Word Processing, Excel, is required.
  • Knowledge in SAP/Umoja, Galileo and Business Object Applications is desirable.
  • Languages: Fluency in oral and written English is required.  Knowledge of another official United Nations language is an advantage.
