Job Summary:   The Executive Associate to the Executive Director will report to and provide executive support to the Executive Director (ED), and work with other Emerging Public Leaders staff when required. This person will be an individual who is inspired by working in an exciting, mission-based environment, supporting the ED to lead the vision of EPL, is very organized, and can plan and manage work to meet deadlines.

 

Key Duties and Responsibilities:

Executive and Strategic Support

  • Complete a broad variety of administrative tasks for the Executive Director (ED) including managing an extremely active calendar of appointments; completing the ED’s expense reports; managing digital documentation; and updating the high-level contacts database.
  • Coordinate complex, confidential, professional, and personal scheduling for the ED including agendas, email, phone calls, client management, and calendar management.
  • Research, prioritize, and follow up on incoming issues and concerns addressed.
  • Ensure the ED is prepared for all meetings including board meetings, by preparing and reviewing meeting presentations and reports, minutes, agendas, notes, and any other documents as requested by the ED.
  • Coordinate content and flow of information from the ED to the Board of Directors, EPL global staff, donors, and other stakeholders as directed by the ED.
  • Coordinate internal and external stakeholder outreach. Communicate directly on behalf of the ED with Board members, donors, EPL global staff, EPL country program staff, and EPL partners as the ED deems appropriate.
  • Compose and prepare correspondence that is sometimes confidential.
  • Arrange complex and detailed travel plans, travel logistics, activities, accommodation, itineraries, agendas, and compile documents for travel-related meetings.
  • Represents the ED in designated meetings as required.

Leadership Team Liaison

  • Support the Executive Director with keeping on top of timelines, especially in communication with the Leadership Team, Board of Directors, and external relations.
  • Assist the Executive Director in scheduling Leadership Team meetings and minute-taking in Leadership Team Meetings.
  • Keep a clean record of all Leadership meetings (and any other organizational meetings that the ED is part of) and make follow-ups where necessary.
  • Perform any other tasks as assigned by the Executive Director.




Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor’s degree in a related field. A master’s degree is an advantage.
  • Minimum five (5) years of experience as an Executive Assistant to the CEO/Executive Director, Chief of Staff, or Strategic Advisor type role.
  • Excellent planning, prioritization, and time management skills.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Exceptional communication skills (written/verbal) and interpersonal skills are a must.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response.
  • Ability to analyze financial data (budgets) and design reports.
  • Be flexible to work with teams from different time zones and locations.
  • Must be a team player, who can also work independently with little direction or supervision and possess the ability to coordinate and manage multiple projects.

 

Location: This position is ‘remote’ and will ideally be based in Africa, preferably in Uganda.
