About US:

This is the first Rotary Peace Center on the African Continent. It is the seventh Rotary Peace Center in the world that offers Postgraduate Diploma in Peace-building, Conflict Transformation, and Development hosted by the Makerere University Peace and Conflict Studies Program (PCS). Up to 40 fellowships are awarded annually for the Professional Development Certificate program at the Makerere Rotary Peace Center, Kampala, Uganda.

 

The Makerere Rotary Peace Center is hosted by Makerere University, one of the oldest and most prestigious universities in Africa. Makerere University is composed of nine colleges offering programs for about 35,000 undergraduates and 3,000 postgraduates.

 

Job Summary:  The Administrative Assistant will take charge of the day today front desk office operations.

 

Key Duties and Responsibilities:

  • Supporting the ADMINISTRATOR in key activities in key activities related to requisitions, procurements, coordinating, accountability, coordinating documentation and filing of documents and maintaining the inventory
  • Coordinating the organization of key program events including Field study activities
  • Managing the front office desk including reception
  • counselling fellows on administrative issues and referring / linking them to other officers who can support them on technical matters
  • Handling documents – Receiving, storing, retrieving, dispatching, organizing documents and other correspondences of the unit
  • Provide Secretarial services to meetings of the Center Staff
  • Managing petty cash transactions
  • Assist in the preparation of regularly scheduled reports
  • Providing Support to the accounting and procurement functions
  • Assist in logistics preparations for workshops and field study trips
  • Any other responsibilities as assigned by the supervisor.

 

Key Outputs

  • Registers of Center guests
  • Registers of all incoming and outgoing
  • Reports on center activities
  • Center up to date Calendar/Diary for activities of Staff





Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor of Science in Guidance and Counselling
  • Bachelor of Arts in Arts (Records management)
  • Research and Field work experience
  • Experience in managing projects
  • Any other additional training is an added advantage.
