Job Summary:  Reporting to the Logistics and Supply Chain Manager, the  Intern (Procurement Support) will  support the Logistics and Supply Chain team in  the administration, development  of all  procurement related documentation for goods and services with preciseness and utmost accuracy  ensuring performance according to ALIGHT and Donor guidelines.

 

Key Duties and Responsibilities:

  • Prepare PRF’s for service and goods relating to Operations department.
  • File reviewed and approved Procurement Requisition Forms (PRF’s) submitted to the Operations Officer.
  • Draft Request for Quotations (RFQ’s) for cash, single quotation and simple quotations procurement thresholds.
  • Draft Bid Analysis (BA) for simple quotation and formal quotations procurement thresholds, submit to the Operations Officer for review.
  • Support the Procurement Team with Cash & Receipt procurements and other low-value procurement transactions.
  • Prepare draft Purchase Orders (PO) for review of the Procurement Officer and Logistics & Supply Chain Manager as and when required.
  • Support to compile procurement paper works, draft evaluation reports of the procurement committee meetings and submit for review of the Procurement Team.
  • Follow up executed orders with selected vendors and ensure prompt service and goods delivery.
  • Scanning and uploading of all procurement documents for ease of review and approval in Ready Sign platform and e-filing.
  • Update the procurement tracker on daily basis with details of progress on procurement transaction files for monthly reporting.
  • In charge of tracking and recording of all payments submitted to Finance for settlement of supplier claims.
  • Ensure proper and accurate filling system of procurement transaction copies for purposes of compliance to standard record keeping, audit trails and traceability.
  • Responsible to facilitate procurement document flow processes for review and approvals/signatures by Supply Chain Coordinator, Finance Coordinator, Head of Programmes and Executive Director.
  • Print or photo copy and organize procurement supporting documents orderly and consistently for review and appropriate onward processing.
  • Perform any other duty that may be assigned by either the logistics manager or procurement officer when necessary.

Qualifications, Skills and Experience:

  • The applicant for the ALIGHT Intern job must hold a Bachelor’s degree in relevant field (Supply chain, Economics, Accounting, Management, etc.)
  • Excellent verbal and written communication in English.
  • Excellent computer skill. Hands on experience of MS word, Excel, and PowerPoint.
  • Able to demonstrate professional ethics and working with a high degree of confidentiality.
  • Willing to learn and having a good attitude.
  • Work with minimum supervision, be self-motivated, and proactive
