Job Summary:  The Office Assistant will be responsible for safeguarding Amref Health Africa’s office properties and provide administrative support to all departments in accordance with Amref Health Africa policies and guidelines.

 

Key Duties and Responsibilities:

  • Plan for the purchase and delivery of office consumables in collaboration with the Administrative Assistant
  • Deliver official mails, messages, memos, and documents to respective destinations and ensure they are signed for or acknowledged by the recipient in line with departmental mission and HR policy.
  • Monitor and provide proper maintenance of office equipment (excluding computers, accessories and fax) in line with Amref Health Africa office maintenance procedures.
  • Photocopy or scan where necessary as support function to the different organization departments in accordance with the Amref Health Africa policies.
  • Type and file correspondences/letters and reports from written manuscripts for different officers in line with Amref Health Africa office maintenance procedures
  • Clean and maintain Amref Health Africa office premises in a clean, tidy and hygienic environment and as well as the kitchen in line with Amref Health Africa office maintenance procedures.
  • Monitor and follow-up payments for office utilities essential for the day to day operations of the organization in line with Amref Health Africa office maintenance procedures.

Qualifications, Skills and Experience:

  • The applicant must hold an O’ Level Certificate
  • Possession of a Certificate in Office Practice & Management will be an added advantage.
  • A minimum of three years of working experience, in an NGO environment or a recognized institution.
  • Good communications skills — interpersonal, written and verbal.
  • Good computer knowledge.
  • Highly innovative and flexible person.
  • Ability to work as team player in a stressful working environment
  • Strong written and verbal communication skills in English
  • Good team work and excellent interpersonal skills
  • Written and Oral Communication skills are essential, and the incumbent must be a team builder, who is able to work successfully in a multicultural environment.
  • A high level of integrity is required.
  • Team player, work under minimum supervision and demonstrate high integrity.
  • Excellent interpersonal skills and ability to work as part of a multicultural team.
