About US:

The mission of the Infectious Diseases Institute (IDI) is to build capacity of health systems in Africa with strong emphasis on infectious diseases through research, and capacity development. IDI has five operational areas through which it works to achieve its mission: Prevention, Care and Treatment; Training, Research and Laboratory services (provided through a partnership with the Makerere University-John Hopkins University Core Lab) and Outreach. IDI invites applications for the following full-time positions for upcoming US government (USAID) sponsored projects for delivery of services for HIV/AIDS and related health conditions.

 

Job Summary:  The Librarian/KM specialist shall head the Library section, which falls under the Information Services department. The major role under Library is information processing (indexing, abstracting, cataloguing, classification, managing electronic libraries, web development and management, knowledge codification), preservation and knowledge sharing. Each of these roles directly serves the needs of end users.

 

Key Duties and Responsibilities:

  • Oversees the overall process of library management.
  • Acts as the point of contact for all Information requests and ensure that users’ needs are satisfied.
  • Acts as the point person for all information related issues.
  • Develops and implements strategies for collecting information from customers and employees (surveys and audits) to identify library issues and needs
  • Plans for responding to needs of a library by participating in the strategic planning process.
  • Solicits for funding and contributes to the sustainability of the library
  • Promotes knowledge sharing through the organization’s operational business processes and systems by, among others, strengthening links between knowledge sharing and the information systems, and improving integration among information systems in the organization, to facilitate seamless exchange of information across systems
  • Creates and develops web content
  • Engage and collaborate with stakeholders to identify and deliver knowledge and information management solutions tailored to their needs
  • Maintains an ongoing program of continuous quality assurance on all Information generated within the Institute and give advice on issues of copyrights, intellectual property rights and branding
  • Liaises with the HOD regarding requirements for development of additional knowledge sharing tools
  • Liaises with the IT Manager regarding equipment requirements, system maintenance evolutions, break-downs and repairs
  • Champion the digital transformation of the library to provide both content and tools and services for the retrieval, access and use of online information
  • Support the IDI’s knowledge management roadmap and promoting the knowledge-sharing culture through regular and innovative actions.

Training, Research and Clinical Support

  • Participates in training sessions and share information management skills with health workers
  • Support distance learning development for the Institute
  • Develop knowledge management policies and best practices
  • Participate in preservation of tacit and explicit knowledge generated at the institute

 Supervision

  • Provides line supervision for Knowledge Management assistants and Library interns as applicable.
  • Participates in recruitment of Library, Records and other Information Services staff
  • Orients and trains Library staff
  • Participates in staff evaluations and general staff needs.
  • Organizes and participates in staff training.
  • Ensures staff maintain a professional code of conduct
  • Actively seek out opportunities to develop and grow the skills of the Library/KM staff.

Web development:

  • Oversees operations of IDI web presence activities and respond to needs of internal and external customers
  • Leads the development and strengthening of IDI web visibility
  • Participates in the development of proposals for Library and Information management consultancies

General:

  • Ensures optimal cost recovery for any Library Management support provided to all IDI chargeable projects
  • Ensures cross functional training among supervised staff within Library and Information Services.
  • Participates in proposal/grant writing as a way of financially sustaining IDI.





Qualifications, Skills and Experience:

  • The ideal applicant must hold a Bachelor’s degree in Library and Information Science, Information management, Records and archives management, Knowledge management or other field with a computing skillset.
  • Post graduate training in Information sciences or computer field will be desirable.
  • At least four years progressive hands-on experience in Library management/KM and systems development for libraries, especially in HIV/AIDS sector.
  • Knowledge of current information technologies and HIV/AIDS.
  • Attention to detail, especially regarding metadata accuracy.
  • Team player and management skills.
  • Good communication skills.
