Job Summary:  The Logistics Assistant is responsible for supporting all the Logistics function in the field offices, ensuring plans and policies are adhered to by all staff.

 

Key Duties and Responsibilities:

Generic responsibilities

  • Adhere to NRC policies, tools, handbooks and guidelines
  • Assist with the implementation of the support function portfolio according to plan of action
  • Prepare and develop status reports as required by management
  • Ensure proper filing of documents
  • Promote and share ideas for improvement of the support function
  • Has a full understanding of NRC logistics policies and formats. Assists, as needed in training staff on these policies;

Specific responsibilities

  • Assists staff as needed on creating clear and understandable purchase requests and other documentations;
  • Prepare the required documentation of supplies and transactions are completed to NRC standards.
  • Assist in ensuring that vehicles are used and maintained according to Logistics Handbook and other NRC policies
  • Plan, schedule and monitor transport of staff and material/equipment according to demands and procedures
  • Coordinate and facilitate timely reporting of eventualities like accidents and breakdowns
  • Secure that NRC vehicles are equipped with necessary documents and equipment.
  • Maintain records of all incoming and outgoing materials
  • Ensure availability of storage space and maintain orderliness and cleanliness of the warehouse at all times
  • Ensure safety and security of materials and immediately report losses, damages or discrepancies.
  • Interact with contractors, in coordination with the program & Logistics in relation to delivery of items.
  • Prepare periodic stock reports and assist in carrying out periodic inventory audits.
  • Assists program/logistics management with asset management. Identify assets during the course of procurement and notify the logistics officer or designated person on receipts of assets.
  • Assists on managing NRC logistics database and reports.
  • Perform other duties as assigned.




Qualifications, Skills and Experience:

  • The applicant for the Norwegian Refugee Council (NRC) Logistics Assistant job must hold a Bachelor’s degree in Supply chain/Procurement/Logistics
  • At least two years’ experience from working as a logistician in a humanitarian/recovery context
  • Good knowledge of logistics/procurement systems and forms
  • Previous experience from working with an NGO in complex and volatile contexts
  • Documented results related to the position’s responsibilities
  • Strong sense of personal integrity and commitment
  • Must be fluent in English, both written and verbal
  • Performance Management
