About US:

SPOUTS is a social venture that locally manufactures and distributes effective ceramic water filters to improve the access to clean drinking water sustainably in Uganda. In addition, we locally manufacture free hand-washing stations to improve access to hygiene.  Our mission is to provide clean drinking water and hygiene services to all East Africans. We currently sell multiple water filter products under the brand name “Purifaaya”.  The Purifaaya provides financial, social, and health benefits for its customers in addition to environmental benefits.

 

Since SPOUTS sold its first Purifaaya in 2015, it has distributed 60,000+ filters to East Africa providing over 350,000 end-users with long-term access to clean drinking water.  SPOUTS is a rapidly-growing organization with over 100 employees and the next step is to scale its operations across all of East Africa to provide all with clean drinking water.

 

Job Summary:  The Executive Assistant is a highly organized, detail-oriented contributor who thrives on ensuring that some of the most senior leaders are supported in their day-to-day needs and that the company is always presented at its best with both internal and external stakeholders.

 

Key Duties and Responsibilities:

Executive Support and Liaison

  • Serves as the CEO’s administrative liaison to the C-suite, company Leadership team and company guests.
  • Curating exceptional visits that put the company’s best foot forward for high priority guests.
  • Well polished, welcoming, and timely communications with important visitors and guests to the office to make their visit as seamless, pleasant, and professional as possible.
  • Set up logistics for visitors including visa letter support, ground travel, accommodation, greeting and settling in at office.
  • Coordinate meeting space and refreshments for any important meetings as requested.
  • Maintains discretion and confidentiality in relationships with all the C-suite, company leadership team and company guests.

Supporting travel logistics for the company’s senior leaders

  • Coordinate travel itineraries for Company C-Suite when they travel, in compliance with the travel policies.
  • Support with visa logistics, ground travel, and accommodation as necessary.
  • Support the Leadership Team with travel bookings as may be required.

Supporting culture-building, leadership initiatives

  • Setting up C-team initiated team cohesion events (e.g., games, dinners, town halls, happy hours, team building events, internal and offsite meeting etc.)
  • Providing ad hoc support to the Talent and Culture Committee on special projects to uphold and review company culture such as Diversity Reports and Culture Proposals
  • Research and internally share upcoming industry related events in market.

Managing C-team Calendars & Administrative Support

  • Managing an extremely active C-team calendars for initiatives such as Office Hours and providing support to C-team in booking internal & external meetings.
  • Follows up on contacts made by the CEO and supports the cultivation of ongoing relationships.
  • Plans, coordinates and ensures the CEO’s schedule is followed and respected. Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Arranging complex and detailed travel plans, itineraries, agendas and compiling documents for travel-related meetings.
  • Assist in filing of C-team expenses and fulfill C-Team business card order production, office supply orders and deliveries.
  • Completing expense reports, composing and preparing correspondence that is sometimes confidential.

Special Report to the CEO and leadership Team.

  • Work on the Chief Executive team to deliver on strategic tasks and support strategic projects.
  • Manages and maintains a variety of special projects for the leadership team, some of which may or may not have organizational impact. Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Ensures that the CEO and leadership team’s bios are kept updated and responds to requests for materials regarding the CEO, leadership team and the company in general.





Qualifications, Skills and Experience:

  • Relevant tertiary qualification may require at least an associate’s or bachelor’s degree, preferably in a field relevant to the executive’s business or organization.
  • At least Two years of experience supporting senior leaders – calendar management, travel and logistics
  • Proven track record executing in a fast moving, detail-oriented environment with a commitment to effective communication and customer service
  • Derives a high level of satisfaction from being highly responsive and timely in dealing with individual issues
  • Excellent written and verbal communication skills (English)
  • Proficiency with Microsoft Suite (Word, Excel, PowerPoint) required
  • High level of competency with analysis and interpretation of qualitative and quantitative data
