Job Summary:  International Justice Mission (IJM) is seeking a proactive, organized, people centered, professional, who will use their communication and interpersonal skills to support the management and coordination of all human resource activities in Uganda. The Coordinator, HR will support the Lead, Human Resources in administering the staff care programs, recruitment process, training and development function, ensuring compliance to policies and providing administrative support to the HR function as needed. The Coordinator, HR will work closely with Lead, Human Resources and function managers to drive the culture of the organization; the position is based in Kampala and reports to the Lead, Human Resources.

 

Key Duties and Responsibilities:

Leadership and Management:

  • Together with the Lead, Human Resources, coordinate HR functions including recruiting, on-boarding, training, discipline, compliance, performance management, professional development, documentation, etc.
  • Manage service providers to ensure excellent spiritual formation and staff care program to encourage emotional and professional health of staff members.

Training and Development:

  • Assist with the implementation of the performance management system that includes performance improvement plans (PIPs) and leadership development programs.
  • Assist with the establishment of an in-house employee training system that addresses the training needs including training needs assessment, new employee orientation or onboarding, leadership development, the measurement of training impact.
  • Assist functional managers with the selection and contracting of external training programs and consultants.
  • Provide necessary sensitization and training to managers and employees including Spiritual formation, and the employee handbook.
  • Maintain employee records including training records including staff care, onboarding among others.
  • Participate in IJM programs activities and Christian spiritual formation

Employment:

  • Support the Lead, HR in coordinating the recruitment process for employees, volunteers, and interns using hiring practices and procedures necessary to recruit and hire a professional, passionate and talented workforce.
  • Participate in the recruiting planning meetings during the assessment of prospective candidates.
  • Along with hiring managers, review the resumes for all job candidates and interview candidates for employment.
  • Serve on employee selection committees or meetings.

Networking & Partnership:

  • Partner with the lead, HR and management to communicate Human Resources policies, procedures, programs, and laws.
  • Recommend employee relations and practices necessary to establish a positive employer-employee relationship and promote a high level of employee morale and motivation.
  • Participate in the conduct of investigations when employee complaints or concerns are brought forth.
  • Advise managers and supervisors about the steps in the progressive discipline system of IJM. Counsel Managers on employment issues.
  • Assist with the implementation of company safety, safeguarding and health programs. Track and post OSHA-required data and files reports.

General Accounting & Statutory Compliance:

  • Participate in conducting competitive market research and prepare pay studies to help establish pay practices that help to recruit and retain superior staff.
  • Partner with accounting and payroll to provide information for payroll database.
  • Seek approvals, make requests and account for HR finance related activities.

Clerical and Administration:

  • Provide day-to-day benefits administration services. Assist employees with any claim issues.
  • Develop and schedule benefits orientations and other benefits training.
  • Administer Group Personal Accident and Group Life claims.
  • Recommend changes in benefits offered, especially new benefits aimed at employee satisfaction and retention.

General tasks: Law

  • Comply with all existing governmental and labor legal and government reporting requirements. Maintain minimal exposure to lawsuits.
  • Protect the interests of both employees and IJM in accordance with IJM Human Resources policies and government laws and regulations.

 

Key Result Areas:

  • Under the guidance of Lead, HR, ensure well stored and accessible employee information including all personnel files. Including the management of equitable and updated staff benefits and insurance plans including GPA, medical etc.
  • Support the management and leadership team in the tracking of staff training & professional development ensuring equity and transparency in the staff development support.
  • Support the Lead, HR in regularly training the staff on IJM people policies and standards with an emphasis on building a strong culture founded on IJM values.
  • Support the Uganda regional office managers on all human resource requirements for the teams within the regional offices.





Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor’s degree in Human Resources, Industrial psychology or relevant field. PGD in Human Resource Management preferred.
  • Two or more years of experience as HR officer, office administrator or similar position.
  • Experience working in a professional international NGO environment preferred.
  • Experience in planning and delivering effective trainings.
  • Computer literate with proficiency in MS office programs and experience with HRMIS software.
  • Member of HRMAU preferred

Technical Competencies:

  • Fluency in English and one local language, with excellent writing and speaking in both.
  • Driver’s license and experience driving manual vehicles preferred.
  • Computer literate with proficiency in MS Word, PowerPoint, Outlook.

Non-Technical Competencies:

  • Mature orthodox Christian faith as defined by the Apostles’ Creed.
  • Exceptional organization skills and attention to detail;
  • Passionate commitment to IJM’s mission and values.
  • Professional in demeanor, appearance, writing and oral communication.
  • Works well under stress with a sustained positive attitude.
  • Exceptionally high level of honesty and integrity.
