Job Summary:  The Procurement & Logistics Assistant will among other things, be responsible for tracking track purchase requisitions and a focal person for all invoices. S/he will conduct routine Inventory and Asset verification and maintain an updated Asset register. S/he will coordinate maintenance/repairs of office equipment, furniture, and premises and the general security of the office premises.

 

Key Duties and Responsibilities:

  • Prepare invoices ready for payment, submit them to finance, and ensure suppliers are paid on time (Fuel reports).
  • Establish and maintain an effective filing system for maintaining the department records (scanning and filing of procurement files/POs)
  • Receive and track Purchase Requisitions (PRs)
  • Ensure up to date, secured and insured assets & inventory.
  • Perform Routine Inventory and Asset verification.
  • Ensuring that all admin invoices/accountabilities received retired on time
  • Liaising with the finance office to ensure all utilities are paid for on time.
  • Support planning for the required administrative resources and equipment and ensure their availability and proper utilization.
  • Prepare BPA release orders for services under BPA.
  • Process POs for goods and services as assigned by supervisor.
  • Ensure well-coordinated & cost-effective availability, security, maintenance/repairs of office equipment, furniture, and premises.
  • Handing out the projector banners for workshops & training
  • Field site visits – District offices/field events etc.
  • Manage Utility service providers – UMEME, NWSC
  • Supporting with generator maintenance, servicing, fueling, and accountability
  • Perform any other duties as assigned by the Supervisor.





Qualifications, Skills and Experience:

  • The ideal applicant must hold a degree in Business Administration, Supply Chain Management, or a related field.
  • At least three years of experience providing technical support for improved management of stores and supply chain with preferred experience in logistics management.
  • At least two years of experience working with NGOs, districts, and health facilities.
  • Excellent written and oral communication and interpersonal skills
  • Desired: Proficiency with Microsoft Office products (Word, Excel, Outlook)
