Job Title:   Managing Director’s Personal Assistant

Key Duties and Responsibilities:

  • Receive and distribute all incoming and outgoing official mail.
  • Make appointments in liaison with the Managing Director and keep an up-to-date electronic diary.
  • Receive, screen all incoming calls and visitors to the Managing Director’s office.
  • Type official correspondences, reports, and speeches for the Managing Director.
  • Take minutes for the Management Committee Meetings.
  • Arrange hotel reservations and airport transfers for all international guests for the company, in liaison with the Managing Director.
  • Make travel arrangements for all company staff traveling out of the country on the company mission.
  • Ensure that the MD’s office is clean and organized by supervising the cleaner.
  • Requisition, control and put to optimal use all office consumables for MD’s office.
  • Requisition of office imprest for small purchases (soft drinks) for MD’s Office.
  • Take on any other assignments as directed, from time to time by the Managing Director.




Qualifications, Skills and Experience:

  • The applicant must hold a Degree or Diploma in Secretarial Studies or Organizational studies
  • Five years of working experience preferably in a busy environment
  • Knowledge of the French language is an added advantage
  • Good knowledge of computer packages like Word, Powerpoint, Excel, emails.
  • High level of confidentiality and discretion.
  • Excellent communication and interpersonal skills and ability to multi-task with high organizational skills.
  • Effective team player.
