Job Summary:  The Case Management Supervisor will provide grassroots support to caseworkers during case management, case plan implementation, monitoring and documentation of Unaccompanied & Separated children, generate reports in different forms and share data as per the information sharing protocol and assumes the responsibilities given under the purpose in accordance with a well-defined framework of policies and procedures under immediate supervision.

 

Key Duties and Responsibilities:

Management;

  • Manage the use, maintenance and technical support of ProGres databases, overseeing data collection, entry and verifications
  • Generate and submit all standard reports including all weekly reports and statistical data reports to the Senior Child protection Officer.
  • Undertake the documentation and data management for Unaccompanied and Separated Children as per the procedure and standards.
  • Enhance smooth processing and production of Unaccompanied and Separated children information as need.
  • Support Caseworkers to input all case management forms into the interagency child protection database, give feedback and follow-ups on additional information from the persons submitting the forms to, ensure efficient data capture processes.
  • Review case reports and monitoring statistics with the Senior Child Protection Officer; setting for case follow-ups, closure and identifying gaps as appropriate.
  • Update all Unaccompanied & Separated Children information and status and produce their information using ProGres.
  • Analyse and respond to report requests from all respective partners as per the protocol.
  • Regular archive and backup database system to ensure security of databases; perform database administrator functions
  • Support entry of information and Assign database codes to new individual cases in an organized and accurate manner
  • Ensure confidentiality of all children information.

Technical and Capacity Building;

  • Enhance and train staff and partners in ProGres and children child protection.
  • Support other response staff on unaccompanied and separated children in relation to service provision within the refugee operation.
  • Maintain standards for child participation, including data confidentiality.
  • Support the Senior Child Protection officer and M&E Assistant in establishing and maintaining a Monitoring and Evaluation system relating to case management.
  • Ensure that all technical information pertinent to ProGres is obtained, documented and disseminated to staff as required.
  • Enhance synergies within the communities to achieve integration and attainment of regional objectives.
  • Establish and liaise closely with UNHCR, OPM and partners agencies regarding documentation of unaccompanied and separated children to ensure and. promote a coordinated approach to case management.

Case management

  • Schedule and supervise case management meetings at least every two weeks. Share minutes of case management meetings with team and senior CP management.
  • Conduct weekly supervision meetings with all caseworkers, providing technical advice on cases and psychosocial support to caseworkers. Facilitate peer-to-peer support groups where appropriate.
  • Support individual cases where required and provide regular monitoring of all aspects of case management services.
  • Ensure staff gaps and training needs do not result in gaps in support to individuals in case management, and address such issues with senior management
  • Review staff caseloads to ensure they are manageable and share challenges with Senior Child Protection Officer.
  • Monitor timescales for response, decision-making, placement, follow-up and review of cases.
  • Ensure access to material and further technical support and set eligibility criteria for material and other support.
  • Review and analyze trends in the caseload to inform programming
  • Conduct regular case file audit and check that protocols and principles are respected.

Others

  • Undertake other related duties as may reasonably be assigned by the Supervisor.




Qualifications, Skills and Experience:

  • The applicant for the Case management supervisor job placement should preferably hold a Bachelor’s Degree in Social work and Social Administration, Social Sciences, Community Psychology, Development studies or any related fields.
  • At least two or more years’ experience working with database systems especially CPIMS/ProGres on case management and child protection programming in an NGO context
  • Prior exposure and experience with integration / mainstreaming of child protection, case management, unaccompanied and separated children
  • Working knowledge of humanitarian industry including sphere standards, NGO code of conduct and humanitarian charter.
  • Must have no history of violation of Children’s rights,
  • Team player, excellent communication skills (verbal and written), as well as interpersonal & negotiation skills and Must possess a valid riding permit.
