Job Summary:  We are looking for an experienced Program Associate to assist the Head of Programs in the management of the initiation, planning, execution, monitoring and closure of key client programs across various sectors of our focus including philanthropy, policy, and

technology. This function falls within the Program Management Office (PMO) of Muyi.

 

Key Duties and Responsibilities:

Projectized:

  • Ensuring that all projects are conforming to the standards (finance and accountability, quality, risk, stakeholder, e.t.c) approved under the Program Management Office Strategic Plan;
  • Monitor the progress of activities under any given project to ensure conformity with approved schedules;
  • Monitor and manage risks identified in the inception of programs, as well the emerging ones during the project cycle;
  • Communication and coordination with Support Staff and other departmental staff to ensure smooth running of integrated systems internally;
  • Participate in and manage quality control activities such as trainings, surveys and focus group discussions;
  • Regularly assist in the development, maintenance and improvement of program structures and documentation, as well as maintaining the PMO filing system;
  • Collecting data, as well as maintaining and updating all databases developed and monitored by the PMO;
  • Carrying out research relevant for improvement of the Function, as well as an input to data for projects;
  • Monitoring, evaluating and learning of project structures and processes.

Functional

  • Monitoring vendor performance;
  • Clerical (Editorial works, design coordination with communications team, e.t.c)

Strategy

  • Together with the Head of Programs (HOP), periodically strategize on areas to strengthen the PMO, and Muyi as a whole, as well as to ensure that the Office financial targets are reached;
  • With the approval of HOP, actively improve on strategies under running projects as and when the need arises or where he/she sees fit;

Day-to-day Responsibilities

  • Monitoring of program cycles to ensure that all tasks are being performed in conformity
  • with the larger workplan;
  • Editorial works and research as and when reports are passed through the PMO or data on a subject area is required;
  • Communications with relevant departments;
  • Updates to HOP on relevant progress;
  • Clerical works.




Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor’s Degree and an advanced graduate degree (e.g., MBA, MSc, MA etc.) or three years of work experience in lieu of the advanced degree in a relevant field, is preferred.
  • The Program Associate should have a background in project management, experience in sourcing of funds, editing and research. A background in Monitoring Evaluation and Learning, or Legal Consultation, is of an added advantage.
  • The Associate should be an excellent communicator and comfortable managing multiple tasks, as well as being a team player and having a problem-solving aptitude.
  • Capability to drive an independent workstream and lead a broader team program
  • Ability to break down and solve problems through quantitative thinking and analysis
  • Comfort with ambiguous, ever-changing situations
  • Ability to work collaboratively in a team and create an inclusive environment with people at all levels of an organization
  • Ability to communicate effectively, both verbally and in writing, client-facing and internal
  • Solid organizational skills including attention to detail and multi-tasking skills
  • Strong working knowledge of Microsoft Office
