Job Title:  Supply Chain Assistant – Warehouse (Fresher Job Opportunities)

DRC works in accordance with the UN Conventions on Refugees and the Code of Conduct for the ICRC and NGOs in Disaster Relief.

 

Job Summary:  The main purpose of this position is to provide timely warehouse and fuel management services for field operations and ensure DRC/Donor policies regarding warehousing and fuel management are adhered to.

 

Key Duties and Responsibilities: 

Warehouse management

  • Receive goods procured into the warehouse after verification by requesting unit or person
  • Sign and file copies of all Goods Received Notes (GRNs), Waybills, delivery notes as appropriate
  • Present the invoice, GRN, delivery note to procurement unit for processing of payment request
  • Properly store the goods in the warehouse and open a bin card for the stock
  • Record all receipts and dispatches on the stock card
  • Carry out monthly stock counts on at least 10 items of stock
  • Ensure all dispatches from the warehouse have proper authorization and documentation
  • Issue goods out of the warehouse and record on appropriate documentation
  • Ensure the warehouse is in a clean and tidy state
  • Enter all receipts, dispatches, losses and adjustments in a timely manner
  • Receive and check distribution plans, ensuring they are fully approved and correctly and entirely completed prior to dispatching
  • Verify the correct goods and quantities have been loaded for dispatch in line with good warehouse practices
  • Ensure only authorized personnel enter the warehouse and keys are safely kept
  • Submit warehouse reports on time

Fuel management

  • Receive bulk fuel and reconcile any variances
  • Inform Support Services Manager on fuel variances on delivery so that credit notes are requested from suppliers
  • Take regular dipstick readings of the fuel in the tank
  • Fuel approved vehicles which present authorized fuel request vouchers
  • Timely report any problems with the fuel dispensing unit
  • Request for fuel replenishment at the reorder level and ensure fuel does not run out
  • Regular update of the fuel utilization report with accurate information
  • Reconciliation of fuel bought on cash and through the fuel card system
  • Filing of all fuel vouchers and acquittals for review by the Support Services Manager
  • Submit fuel utilization report on time

Asset management

  • Update the asset list for all motorized equipment other than vehicles and all non-electrical equipment
  • Ensure custodian of assets are recorded for all motorized equipment and non-electrical equipment




Qualifications, Skills and Experience:

  • The ideal applicant must hold a Degree in transport and logistics, stores, warehouse management, supply chain or relevant field.
  • At least 1 to 2 years’ experience in a similar role
  • Previous experience with Non-Governmental Organization in similar/related position is an asset;
  • Good command of English language
  • Good interpersonal, communication skills and ability to communicate with stakeholders at all levels;
  • Ability to work under pressure;
  • A team player and the ability to work with minimum supervision;
  • Fluency in English.
  • Fluency in local languages would be an asset.
