Job Summary:  The Operations Administrator/Personal
Assistant will ensure proper flow of office procedures, and support the Chief
Operating Officer by carrying out common office duties, maintaining a positive
and friendly company image by acting as the first line of contact to visitors,
customers, and vendors in person, online, and via telephone.

 

The Operations
Administrator/Personal Assistant will also provide office and administrative

support to the
Commercial Team ensuring the rest of the staff has adequate support to

work efficiently.

 

Key Duties and Responsibilities:  

·       
Coordinating
Commercial activities across the Commercial Function and the rest of the company
functions to ensure efficiency and compliance to company policies;

·       
Keeping
Commercial records and ensuring follow-up on Commercial activities under the
Commercial Function;

·       
Coordinating
the activities of the Chief Operating Officer such as travel to ensure that
timelines are met across the function;

·       
Providing
adequate response to stakeholders in relation to the activities of the Chief
Operating Officer;

·       
Coordinating
appointments for the Chief Operating Officer;

·       
General
office requirements and keeping stock of the requirements in the Chief
Operating Officer’s office

·       
Coordinate
activities of the Chief Operating Officer’s Direct Reportees;

·       
Providing
administrative support to the Commercial Team;

·       
Liaising
with both internal and external stakeholders when required;

·       
Support
budgeting and basic bookkeeping procedures;

·       
Tracking
Commercial KPI indicators on behalf of the COO;

·       
Take
charge of the Leave Management System for the Commercial Function and monitor
team leave;

·       
Manage
Commercial Performance-Related Awards;

·       
Acknowledgement
of the Commercial Team’s personal milestones such as birthdays and
anniversaries.

 


Qualifications, Skills and Experience:

·       
The
ideal candidate for the position should hold a Degree in any business-related
field

·       
At least
two (2) years’ experience as an office administrator, office assistant or
relevant role;

·       
Proficient
in a variety of computer software applications including Microsoft Office Suite
(Word, Excel, Outlook, and Access);

·       
Outstanding
abilities to communicate in person, in writing and over the phone

·       
Excellent
organizational, interpersonal and leadership skills;

·       
Excellent
leadership, time management and organizational skills;

·       
Multi-tasking
skills with the ability to prioritize tasks;

·       
Strong
Attention to Detail;

·       
Ability
to work under minimal supervision

·       
Excellent
customer service skills

·       
Trustworthy
with the ability to handle confidential information;

·       
Ability
to work under pressure with minimum or no supervision and meet deadlines in a
fast-paced changing environment
