Centre, Makerere University, Kampala, Uganda

Reports to: Finance
and Administration Officer

 

About US:

The AfriChild Centre
is a multidisciplinary research institution that undertakes child-focused
research, supports capacity building of academics, policy makers and
practitioners; and advocates for evidence-based policy implementation/making
and programming to improve the well-being of children. Its core program areas
are: promoting applied interdisciplinary research and demonstration projects;
influencing policy and practice discourse; capacity building and trainings; and
knowledge management. These are implemented across three key focus sectors of
education, health and child protection.

 

Job Summary:  Under the supervision of the Finance and
Administration Officer, the Human Resource and Administration Volunteer will
support the day-to day Human resources and administrative functions of the
Centre to ensure that they are implemented in a timely and cost efficient
manner.

 

Key Duties and Responsibilities:  The Human Resource and Administration
volunteer will be responsible for:

Human Resources

·       
Contribute
to AfriChild’s Human resource planning in line with its strategy

·       
Support
with the preparation of Human Resource documents, maintain accurate and
complete personnel files and updating Human Resource lists and trackers as
necessary

·       
Support
the implementation of induction programmes for new staff

·       
Support
in the preparation of the monthly payroll ensuring staff changes are accurately
reflected

·       
Management
of staff leave plans and ensuring that the leave tracker is updated in a timely
manner

Administration

·       
Ensure
effective running of the AfriChild office and providing logistical support to
staff

·       
Lead
annual Insurance renewals

·       
Receive and
Respond to all AfriChild’s visitors’ inquiries, Phone calls and

·       
correspondence
to AfriChild Head Office in line with AfriChild policies and best practices.

·       
Schedule
and coordinate external and internal meetings as per request from different
departments in line with organizational policies and procedures

·       
Coordinate
travel and itinerary arrangements for AfriChild staff and approved AfriChild
visitors line with approved travel plans, AfriChild Policies and Procedures

·       
Provide
administrative support in the acquisition and disposal of office and staff
equipment and facilities

·       
Support
with the implementation of policies and standard operating guidelines for
general administration, transport and travel and provide administrative and
logistical support to staff and visitors

Child protection

·       
The
incumbent shall ensure that they uphold and undertake deliberate efforts to
ensure the safety of the child will remain alert and responsive to any child
safeguarding risks, acquire relevant knowledge and skills to enable her promote
strong safeguarding practices. The candidate will also ensure they understand
the child safeguarding policy and procedures, and conduct herself in a manner
consistent with the Child Safeguarding Policy.

other duties and responsibilities that will be assigned from time to time.

 


Qualifications, Skills and Experience:

·       
Bachelors’
Degree in Human Resource Management and any other related degree from a
recognised University

·        One and a half years of experience in Human Resources and office Management

·       
Working
experience with an NGO is an added advantage

·       
Knowledge
of payroll Management

·       
Strong
written and verbal communication skills

·       
Strong
interpersonal skills and adept at employee relations including conflict
resolution

·       
Self-motivated
and highly organised
