Job Summary:  The Administration Officer (AO) is responsible
for providing administrative, operational, and logistical support to Lifewater
(LI) country and program offices. This position is primarily responsible for
ensuring that office administrative operations are functioning efficiently and
effectively and are aligned to support attainment of LI goals. Supports general
operations activities and day to day management of office operations equipment
to ensure proper functioning/routine maintenance and supply stock management.
Also takes care of general office hygiene in line with LI standard operating
procedures. Ensure administrative and HR support are conducted according to LI
policy, standard operating procedures, and good business practices, and that
tasks are completed with a high level of quality and integrity.

 

Key Duties and Responsibilities:  

Office Management

·       
Provides
administrative support to ensure efficient operations of the office

·       
Assists
with planning for and coordinating meetings, workshops, and training

·       
Administration
of HR processes

·       
Prepare
meeting minutes, documents, and reports when required

·       
Keep
office stationery and handle distribution and keep a proper inventory of the
same

·       
Coordinates
team transport and accommodation (local and international travels)

·       
Ensuring
efficient maintenance of the organization’s fleet of vehicles by coordinating
repair/maintenance schedule of all motor vehicles/cycles

·       
Ensure
compliance with national traffic laws and report accidents to Management and
Insurance companies

Human Resources

·       
Assist
with duties pertaining to recruitment and separation of staff

·       
Assist
with the processing and monitoring of staff leave requests

·       
Ensure
efficient record-keeping for all country program staff

·       
Prepare
summaries and reports on staff as and when needed.

·       
Directs
and supervises the Driver, office cleaning, and security service providers to
ensure smooth operations in the field and country offices

Purchasing Duties

·       
Coordinates
purchases and procurement of goods and services for programs

·       
Provide
support in liaising with approved suppliers to ensure delivery/provision of
quality goods and services

·       
Prepare
local purchase orders for approved purchases

·       
Prepare
comparative analysis of quotations and consolidate where possible multiple
purchase orders

·       
Undertake
procurement of goods and services following Management approval

·       
Ensure
prompt delivery of goods and services to Kampala country office and field
offices

·       
Undertake
systematic and efficient filing of all purchase/procurement related documents

·       
Liaise
with utility service providers and check the correctness of all invoices before
approval for payment

·       
Perform
any other administrative duties as may be assigned in relation to the
activities of LI Uganda Program

 

Qualifications, Skills and Experience:

·       
The applicant
must hold a Bachelor’s degree in in Business Administration or in Public
Administration, Social Sciences, or similar field

·       
A minimum
of five years of experience in HR and administrative tasks, of which at least 3
years are with an NGO setting

·       
Strong
ICT skills especially Microsoft Office applications (MS Word, Excel,
PowerPoint)

·       
Committed
to regular Christian fellowships and motivated to serve those in need

·       
Should
be a born again Christian, a servant leader, and able to adequately lead in
contexts of denominational diversities

·       
Ability
to prioritize a demanding workload and to work under minimal supervision

·       
Ability
to deal with pressure and work quickly

·       
Good
communication, diplomacy and problem-solving skills

·       
Ability
and willingness to listen and share decisions and to take effective decisions

·       
Fluent
in English, written and spoken

·       
Excellent
planning and organization skills
