PEAS (Promoting
Equality in African Schools) is a UK based charity/social enterprise with a
mission to ‘expand access to sustainably delivered, quality secondary education
across Africa’. PEAS establishes and operates low-cost secondary schools in
Uganda and Zambia in areas where access to quality secondary education is
limited due to cost and geographical barriers. PEAS’ interventions are built
upon 3 pillars of education impact; Access, Quality and Sustainability. Since
opening its first schools in 2008, the PEAS network has grown to 31 schools,
and we are currently educating over 16,000 students. PEAS Uganda has about 50
staff at the Country Office and over 900 staff working in the network schools.
Job Summary: The Administrative Assistant will be the first
point of contact for all external stakeholder enquiries whether face to face,
post, phone or e-mail. You will provide excellent customer service, ensuring
that their enquiries are dealt professionally and effectively. This is an
important role, providing both support to others and ensuring the smooth running
of the Uganda office. You will be managing the reception and providing
administrative assistance to CST so to be successful in this role, you must be
organised, adaptable and have a desire to learn. This would be a great
opportunity for an energetic individual looking to develop their professional
skills whilst working in a fast-paced INGO.
Key Duties and Responsibilities:
Reception duties
for the PEAS Kampala office
- Be first point of contact for all external stakeholder enquiries and
general internal stakeholder enquiries whether face to face, post, phone
or e-mail. Provide high quality customer service using professionalism and
good judgement. - Distributing incoming mail, date stamping, and directing
appropriately.
Administrative
assistance to the Uganda Country Strategy Team
- Being aware of all staff whereabouts and requested information when
a staff is not available. - Provide administrative support to the CST including diary
management, booking meetings, organising travel and preparing travel
itineraries. - Support in organising accommodation, transport and technology
requirements for all visitors from other PEAS offices - Provide ad-hoc support administrative support when needed
Office management
- Assist in the effective functioning of the Uganda office reception,
ensuring it is a fit for purpose work environment. - Proactively supporting the implementation and improvement of
internal administrative policies and procedures - Monitoring and maintaining all administrative records and data
within agreed procedures - Manage meeting room booking system for all meeting rooms and
boardrooms; ensuring that staff are following the process. - Maintaining office supply stock and inventory including stationary,
preparing requisitions and ordering supplies as required.
Key Results:
- All visitors to the office are acknowledged and attended to within
10 minutes of arrival - All email enquiries to the main Uganda inbox are responded to within
48hrs of receipt - Meeting room booking system is well managed
- The reception area is well-stocked and fully functional
- Positive feedback from CST/People and Culture Lead that the support
they receive from the
Qualifications, Skills and Experience:
- The ideal candidate for the PEAS UK Administrative Assistant job
must have secondary education - Experience in support service function and secretarial or reception
duties - Basic computer skills in using Microsoft Word and Excel
- Can speak and write fairly good English.
- Driving skills with a lean and valid driving permit.
- Ability to approach work with energy, and a positive constructive
attitude - Willingness to learn
- Ability to use office equipment like photocopiers and scanners.
