Job Summary:  The Project Support Assistant – SEEK Project
will be accountable for providing logistical and administration, support
finance, store management, fleet management and provide support to the regional
staff under the guidance of the Project coordinator for the Sustaining
Education Efforts in Karamoja (SEEK –Project)

Key Duties and Responsibilities: 

Logistics and
Administration:

  • Maintain clear channel of communication by providing feedback to
    guests, service providers and staff, track in and out communication. Major
    point of contact for all service providers.
  • Tasked with completing worksheets for all causal staff within office
    and submitting them on time for payment in addition to making follow up
    and giving feedback for issues related to payment of causal staff.
  • Ensure that staff well fare within office premises is well managed
    including office tidiness, supervision of causal staff, managing staff
    requests for any logistics needed.

Support finance: Timely submission of Local purchase order,
payment requests, invoicing, payroll preparation for salaries and tracking
items purchased on provision. Take charge of any purchase request for project
items needed.

Support to regional
staff:

  • Improved good working relationship with stakeholders and staff
    (building collaborative relationships)
  • New and hired staff are taken through administration procedures and
    transition procedures
  • Hotel bookings done on time and devotional materials readily
    available to all staff for morning devotions. Ensure that staff welfare is
    well catered for, supervise causal staff.

Stores management

  • Daily use of stores requisition, received and way bill books to
    track stock in the store(accurate checking and tallying of deliveries
    before storage
  • Timely completion of updating of stock cards

Fleet management

  • Ensure proper storage space for riding gears, keys and other office
    assets used on daily basis by staff.
  • Ensure that all motorcycles and vehicles are parked at the office
    premises. Also ensure all keys (office, stores, vehicles and motorcycles
    are kept in the key box).
  • Monthly verification of fuel coupons and fuel statements from
    suppliers and provision entry for payments.
  • Ensure that all request for routine service of motorcycles and
    vehicles are entered on provision on time.

Qualifications, Skills and Experience: 

  • The applicant for the World Vision Project Support Assistant – SEEK
    Project job placement should preferably hold a Bachelor’s Degree in any of
    the following: public administration, procurement and supply
    chain/logistics, development studies or social science with a bias in
    administration.
  • Have Strong knowledge on administrative roles
  • Strong communication skills with ability to communicate effectively
  • A good problem solver and sensitive to conflicts.
  • Good knowledge in Microsoft packages
  • Effective in written and verbal communication in English and spoken
    Ngakaramojong language.
  • Ability to ride a motorcycle will be desirable.
  • Good in staff management and strong communication skills
  • Strong understanding of the organizational policies and procedures
    i.e. child and adult safeguarding policy
  • Good knowledge on administrative roles, logistics, planning, problem
    resolver and asset and store management
  • Experience in managing staff relations
  • High level of excellent reporting and documentation skills
  • Problem solving and decision making skills.
  • Ability to work in hard to reach context
  • Result oriented.
