Joint Medical Store (JMS) is a Church founded private not-for-profit organization whose mission is to supply affordable Quality Health Solutions in an efficient manner assuring a preferential position for Medical Bureaus and Sustainability of Member Health Units.

Job Summary: The Human Resources & Administrative Assistant will mainly provide clerical support to Human Resources and Administrative Department while administering human resources & administrative initiatives and providing logistical support to JMS. He/she will also be responsible for the office and operations management at JMS.

Key Duties and Responsibilities: 
  • Act as a point of contact for all branch administration related issues.
  • Carryout spot checks on cleaning and garbage collection and prepare feedback reports to respective service providers.
  • Prepare all office requirements, purchase requisitions and draft terms of reference as shall be instructed.
  • Receive, store, distribute and replenish stationery, office supplies including corporate wear and staff welfare items.
  • In liaison with records section, take part in the disposal/destruction of expired documents.
  • Act as point of contact for all field staff and resolve their administrative issues including but not limited to motorcycle, fuel, safety gear and airtime issues.
  • Manage airtime and data facilities for approved staff, download and prepare fuel consumption reports in timely manner.
  • Track utility related bills and forward for payment in a timely manner.
  • Devise and maintain office systems, including data management and filing.
  • Initiate the payroll using JMS computerized system - ERP
  • Maintain human resource records, including the computerized data package
  • Draft appointment letters and performance management feedbacks as instructed
  • Follow up on update of staff contracts
  • Manage the compilation and follow up of staff attendance
  • Receive, record, file, sort, tabulate job applications and maintain their security

Qualifications, Skills and Experience: 
  • The ideal candidate for the Joint Medical Store (JMS) Human Resources & Administrative Assistant job placement must hold a Bachelors’ degree in Human Resources Management.
  • Post-graduate Diploma in Human Resource Management
  • Post graduate training in finance and accounting
  • Training of Trainers
  • Training in payroll management using computerised systems
  • Training in Administrative related course
  • At least two years of experience in the provision of human resources and administrative services in a busy organisation
