About USAID RHITES-N Project:
With the RHITES-N
Acholi Project (Regional Health Integration to Enhance Services in Northern
Uganda – Acholi), USAID will continue its support of the Government of Uganda’s
(GOU) efforts to improve access to and use of health services in the country’s
post-conflict northern region. RHITES-N Acholi Project activities will build on
USAID investments and national advances to increase access to and use of
high-quality integrated services that accelerate the ability and capacity to
respond to the specific health needs of residents in the Acholi sub-region,
leveraging the URC-ASSIST project successes.
Job Summary:  The Receptionist will attend to visitors and
dealing with inquiries on the phone and face to face. S/he is expected to
provide general information regarding the organization and Project to the
general public, clients, and customers and general front office management.
Key Duties and Responsibilities: 
  • Welcome visitors by greeting and escorting them and responding or
    referring inquiries
  • Answer incoming telephone calls, take complete and accurate messages
    for people who are not available, and ensure they receive their messages
  • Direct visitors by maintaining employee and department
    directories/contacts and giving instructions.
  • Maintain security by following procedures, monitoring logbook and
    issuing visitor badges.
  • Provide office administrative support to the Administrative Officer,
    including organization and facilitation for internal meetings, assist
    drafting agendas and compiling of minutes for general staff meetings
  • Maintain hard copy and electronic versions of a project archive and
    minutes of general staff meetings
  • Perform general clerical duties to include, but not limited to
    photocopying, scanning, faxing, filing, and mailing
  • Maintain tracker for settlement of office utility bills
  • Assist with making logistical arrangements for project events and
    field activities
  • Support logistical arrangements for project staff traveling outside
    their region or for international visitors as needed

Qualifications, Skills and Experience: 
  • The applicant for the USAID Project Receptionist must hold a Diploma
    in Administration, Leisure and Hospitality Social Science, or other
    relevant field
  • A minimum of two years of relevant experience in reception
    management or customer case
  • Excellent knowledge and experience with Windows Word, Excel,
    PowerPoint, Outlook, and other data processing and graphical presentation
    software
  • Ability to independently plan and execute complex tasks while
    addressing daily management details and remaining organized and focused on
    long-term deadlines and strategy highly desirable
  • Ability to assess problems and develop solutions
  • Excellent inter-personal communication skills and excellent
    organization skills
  • Fluency in oral and written English
