Job Summary:  The Executive Assistant will perform
secretarial and administrative duties for director-level executives. Perform
duties of a highly confidential nature. Apply intuitive judgment, knowledge,
and ability to relieve the directors of administrative details, including
supplying requested information, scheduling appointments, preparing special
reports, and obtaining information from sources within or outside of the
company. Leverage technical and business vocabulary and detailed knowledge of
company operations, organizational procedures, and personnel. Make independent
decisions regarding the planning, organizing, and scheduling of work within
established guidelines.
Key Duties and Responsibilities: 
  • Provides advanced (senior-level) day-to-day administrative duties as
    required by daily operations in an office of a senior executive.
  • Supports Senior Executives and Executive Director on a day-to-day
  • Requires use of initiative and independent judgment.
  • Accepts ownership for accomplishing new and different request.
  • Takes initiative to explore opportunities to add value to the
    existing processes.
  • Services provided covers three functional areas of support;
    Executive Management Administration, Executive Reception, and Executive
  • Must have superior phone and face-to-face protocol capabilities.
  • Ability to use courtesy and tact in performing public contact and
    communication duties that may be sensitive in nature.
  • May function as the direct interface with the task monitor for day
    to day activities, directives and tasks.
  • Performs a variety of administrative functions.
  • Schedules appointments, and coordinate a variety of appointments,
    meetings and/or conferences.
  • Requires the ability to supervise or coordinate the work of other
  • Composes memos, transcribes notes, and researches and creates
  • Generates reports.
  • Handles multiple projects, and prepares and monitors invoices and
    expense reports.
  • May assist with compiling and developing the annual budget.
  • Familiar with a variety of the medical and financial concepts,
    practices, and procedures.
  • Relies on experience and judgment to plan and accomplish goals.
  • Performs a variety of complicated tasks.
  • May direct and lead the work of others.
  • A wide degree of creativity and latitude is expected.
  • Reports to the Executive Director.
  • Provide assistance answering and routing phone calls, taking
    messages, and greeting and directing visitors to the appropriate staff.
  • Other duties as assigned.

Qualifications, Skills and Experience: 
  • The Executive Assistant must hold a Bachelor’s degree
  • Three years of related work experience
