Job Summary: The
Administrative Assistant will be tasked with managing the front desk by
displaying excellent customer care, attending to inquiries, providing general
offices services, and monitoring administrative projects.
Key Duties and
  • Answer telephone queries by customers and
    those that visit the office professionally.
  • Deliver invoices/collect payments,
    submitting NSSF and PAYE returns in time.
  • Ensure that the mini-kitchen is
    efficiently supplied with coffee, tea, sugar, etc.
  • Supervise cleaning of the office and all
    office equipment on a daily basis.
  • Monitor the functioning of all non – IT
    office equipment to ensure that they are in good working condition and
    reporting repairs or servicing when necessary.
  • Managing the reception desk and carrying
    out all reception duties.
  • Track staff attendance
  • Verifying goods as delivered by suppliers
  • Handle immigration matters, e.g. work
    permit applications.
  • Arranging for staff travel, e.g. making
    travel reservations.
  • Ensure that general office documents are
    correctly filed in their respective files.
  • Providing office stationery
  • Providing clerical support to the
    Accountant and Executive director as may be required.
  • Perform any other duties as may be
    assigned to you by Management

Qualifications, Skills and
  • The Administrative Assistant must hold a
    Diploma in Business Administration or the equivalent from a recognized
  • Certificates in MS Office applications and
    customer relation management
  • Two years of experience as a receptionist,
    ability to take initiative and follow instructions, problem solving and
    interpersonal skills, well organized, and ability to work in a team
  • Good Customer Relations

  • Fluent in MS Office applications
  • May be required to work overtime and
    sometimes on Saturdays.
