About Us:
The Uganda Youth Network
(UYONET) is a regional focused leading umbrella Youth CSO Network that works to
mainstream young peoples’ engagement in development and governance processes in
East Africa and beyond. UYONET was started in 2002 to respond to the increasing
demand for a collective platform for research, training and policy advocacy for
young people by young people. With a membership of 31 district networks
constituted by over 147 youth organizations, UYONET has continued to be the
apex of youth programming and designing appropriate interventions that respond
to the needs of the youth across the region.
Job Summary:   The Administrative
Assistant performs a wide range of administrative and office support activities
for the department, managers and other staff to facilitate the efficient
operation of the organization. This position requires an individual who
possesses excellent organizational skills and the disposition to work well with
other department members.
Key Duties and Responsibilities:
  • Performs
    day-to- day administrative functions and general office duties including
    but not limited to word processing, copying, filing, and data entry.
  • Attends,
    records and prepares minutes of all Team meetings. Makes arrangements and
    prepares, or supervises preparation of, necessary materials for meetings
    at request of Executive Director and other management staff
  • Responsible
    for the day-to-day back-up operation of the UYONET’s telephone console,
    wherein the answers, and routes calls to appropriate staff.
  • Maintain,
    account and prepare accountability reports regarding the disbursement of
    petty cash funds and incentive certificates for programs.
  • Assists
    in research and compiling of grants to include typing statistical tables,
    demographic tables, budget formats, and compliance checks.
  • Receives,
    opens, and clears and distributes the center business mail. Copies, files
    and distributes originals and copies of agency in-coming correspondence
    from funding sources, partners etc., and maintains subject and
    chronological files of correspondence in -coming and out-going.
  • Orders
    office supplies according to established procedures, receives all
    merchandise and compares order with purchase order for correctness,
    maintains file of purchase orders, processes invoices for payment,
    maintains control logs and coding system as requested by the Executive
    Director
  • Maintain
    the program forms catalogue, ensuring sufficient copies of all forms,
Other (5%):
  • Perform
    any other duty from time to time that may be assigned to him by the
    Executive Director
  • Other
    duties as required. Occasionally working on weekends and holidays for
    which time off in lieu can be taken.



Qualifications, Skills and Experience: 
  • The
    ideal candidate for the Administrative Assistant employment opportunity
    must hold a Bachelor’s Degree or Post graduate degree in Business
    Administration/ office management or secretarial studies.
  • At
    least three years related experience
  • Extensive
    knowledge of office administration and management
  • Previous
    experience in procurement and logistics administration.
  • Secretarial
    and Computer Skills in MS Windows, Word, Excel, internet explorer, Outlook
    express or Microsoft outlook Competencies
  • Excellent
    communication skills, both written and oral and excellent relationship
    building skills
  • Experience
    of working in a youthful, multi-cultural environment and with networks.
  • Strong
    relationship building. Building and managing relationships with key
    stakeholders
  • Commitment
