in 1991 as a Medical Institution and HIV/AIDS Centre of Excellence specializing
in Medical Research, Health Care and Training.
Job Summary: The Laboratory
Records Assistant will serve as a Laboratory Records Assistant/Data clerk for
the laboratory Directorate. The job holder’s primary responsibility will be to
assist Senior Laboratory Management to ensure laboratory files, policies and
procedure manuals and protocols are maintained and up to date as well as
archiving retired documents and records. The incumbent will also receive
visitors and mails and refer them to the appropriate departments. The job
holder also provides basic clerical support to the laboratory directorate and
promote the goals of the JCRC.
Key Duties and Responsibilities: 
·        
Receive and enter QAQC data in the database from
either Deputy Director Lab Services/Lab Manager and/or Director Laboratory
Services and give it first priority and bearing in mind turn- around-time (TAT)
of the results to the JCRC clinical services and collaborating Projects.
·        
Support the Senior Lab management to ensure lab
files, policy and procedure manuals, protocols are maintained and up to date.
·        
Assist in coordinating supplies/logistics of all
office lab supplies.
·        
Support QAQC Officer in photocopying, filing
policies and procedures, as well as archival of laboratory documentation.
·        
In charge of the coordination of Laboratory
meetings, keeping minutes during meetings, preparation and distribution of
minutes prior to next meeting.
·        
Offer technical support to the billing of laboratory
assays performed for external and internal collaborations, receive and monitor
billing of outsourced laboratory testing and liaise with the accounting
department to ensure bills are distributed and paid accordingly.
·        
In charge of preparing and submitting monthly
reports to characterize the turnaround time and workload for assays performed
by protocol in the laboratory.
·        
Receive mail, packages etc and refer to designated
locations.
·        
Perform any other duties as directed by the Deputy
Director Laboratory Services.
Qualifications, Skills and
Experience: 
·        
The applicants should preferably hold a degree in
Records and Archives Management, Library and Information Management, or any
related field from a recognized Institution.
·        
The Laboratory Records Assistant should have a
year’s experience in a busy medical department setting. Working knowledge of
basic medical terminology and some experience in note taking for scientific
meetings desirable.
·        
Prior data entry experience is an added advantage.
·        
Past experience in a hospital/clinical/research
setting is an added advantage.
·        
General office experience combined with good
communication, organizational and prioritization, confidentiality skills.
·        
Good computer skills, including but not limited to
Microsoft Word, Microsoft Excel, E-mail and Internet.
·        
Ability to maintain a high level of confidentiality.
·        
Highly organized, detail oriented and
self-motivated.
·        
Pleasing approach to the public and co-workers.
