Job Summary: The People and Culture (HR) Assistant will
offer secretarial, administrative and coordination support to the division by
developing and maintaining office systems and procedures, in line with the
division strategy in order for the division to achieve the goals of the
organization.
Key Duties and
Responsibilities: 
1. Information Management:
  • Receives, screens and presents to the
    supervisor information or data on which she bases her decisions.  This includes incoming letters and other
    documents from other divisions and/or outside of World Vision.
  • Follow up feedback on the mails for
    appropriate action.
  • Quickly respond to all general inquiries
    of the division
  • Attend to phone calls to the division
2. Management of Meetings:
  • Book meeting venue and communicate meeting
    details including date, time and agenda.
  • Book interview venues, requisition for
    money for facilitation for panel.
  • Prepare material/stationery for meetings
  • Request for vehicle to facilitate the team
    where necessary
  • Prepare minutes for meetings attended
  • Prepare interview documents e.g.
    Application and registration forms.
  • Invigilate written tests during practical
    interviews.
3. Customer Care: Receives all visitors/clients coming in the
Division and directs those who do not warrant seeing the supervisor to other
managers.
4. Communication: Ensures good flow and appropriate action on
correspondence and documents from the supervisor’s office to other department.
5. Staff Files:
  • Management of staff files
  • Open files for new staff
  • Process and file all documents for staff
  • Staff Letters: Process staff letters.  These include: Contract appointments, Transfers,
    End of Contracts, Acceptance of resignation, Letters of Undertaking
    (loans), Application for passports and visa, Application for opening new
    accounts and Invitation letters (for visitors)
  • Attend and participate/lead in daily
    devotions and weekly Chapel services.
6. Others: Liaise with
procurement and services providers to provide new Identity cards for staff
Qualifications, Skills and
Experience:  
  • The HR Assistant should hold a Bachelor’s Degree
    in Office and Information Management/Science, Secretarial duties, Office
    Management Science or Human Resource Management
  • At least three years’ experience in related job roles
  • Good Customer Care skills
  • Excellent planning and organizational
    skills
  • Good Interpersonal skills
  • The applicant should be accurate and
    organized at work.
  • Possess the ability to work in a team to
    achieve excellence in execution, committed, accountable and passionate
    about the work we do.
  • Commitment to World Vision mission and
    partnership values and sensitivity to its various expressions across
    cultures and denominations.
  • Track record demonstrating high integrity,
    reliable and dependable
  • Good networking and influencing skills
  • Ability to work with minimal supervision
  • Computer literacy skills
  • Must be a committed Christian, able to
    stand above denominational diversities.
