About USAID UHSC Project:
Management
Sciences for Health (MSH) is implementing a USAID-funded project called the
Uganda Health Supply Chain, a five year program supporting the Government of
Uganda’s health system to improve the availability and accessibility of
essential medicines and health supplies (EMHS). The expected results of are
to:1) strengthen national policies and strategies and support cost-effective,
equitable, and transparent utilization of EMHS resources; 2) strengthen country
capacity for effective management and utilization of EMHS; and 3) increase
availability and access of EMHS among priority populations.
Job Summary:  The Operations Intern will support the
operations function of the USAID program. Under the supervision of the Senior
Operations Officer, the incumbent will work closely with COMU, program
technical managers to support the day-to-day operations and administrative
management of the Technical Program and field activities. In consultation with
the Senior Operations Officer, s/he will travel regionally as necessary,
support trainings and field programmatic events, collaborate with COMU and the
technical managers in their coordination of field travels and other logistical
support and collaborate with COMU to perform periodic and random inventory
audit and asset verification.
Key Duties and Responsibilities:  
1.
Planning – support programs in the logistical planning for workshops, meetings
and training sessions which require logistical support.

The Intern will support programs in the preparation
of the budgets for the workshops to ensure adequate and accurate information is
catered for,
·        
Assist, where requested, in preparation of
invitations to participants in accordance with the MSH procedures, with
particular attention to ensure adherence to policies on allowances
·        
Carry out Anti-Terrorism Clearance Verification
Process for participants, venues and related service providers
·        
Oversee the selection of venues with all the
necessary logistical support including PAS, venue arrangement, projectors,
screens, etc.
·        
Assist, where requested, to ensure the availability
of materials including stationery, printed materials (to be prepared by program
technical staff), branded materials, name tags, all arranged and packaged in an
appropriate manner, among others
2.
Event Management – Support events related activities including:
·        
Provide guidance to ensure participants are
registered in time
·        
Coordinate the processing of mobile money payment to
participants in a timely manner,
·        
Coordinate with the Hotels regarding the changes in
participants’ numbers and to ensure services are as per schedule
·        
Coordinate the customer satisfaction assessment
survey
3.
Equipment –
Ensure that all training equipment is well
maintained and returned to safe custody every after training session together
with, unused materials and branding material
Qualifications, Skills and Experience:  
·        
The ideal candidate for the USAID MSH Operations Intern
vacancy must hold a degree in administration or any management related field
(should have scored a minimum of an Upper second)
·        
Keen interest to work with a health development program
·        
Computer skills in Microsoft Office applications
(particularly Word and Excel)
·        
Interpersonal and communication skills with ability
to interact professionally
·        
Familiarity with event planning
·        
Ability to work independently and to multi-task,
with skills in numeracy
