About US:
The Uganda National Council
for Science and Technology (UNCST) is a statutory organization mandated
facilitate and coordinate the development and implementation of policies and
strategies for integrating Science, Technology and Innovation (STI) into the
national development process.  UNCST was
established by CAP 209, under the Ministry of Finance Planning and Economic
Development.
Key Duties and
Responsibilities: 
  • The
    Administrative Assistant/Personal Assistant will manage and maintain the
    Deputy Executive Secretary’s diary, email account and telephone line.
  • The
    job holder will ensure timely dissemination of information from the Deputy
    Executive Secretary’s office to relevant stakeholders.
  • Carry
    out regular diary meetings with the Deputy Executive Secretary to discuss
    upcoming engagements, invitations and other requests and matters.
  • Schedule
    on behalf of the Deputy Executive Secretary meetings between him and his
    direct reports and the committees, groups and institutions to which he is
    a member and any other guests.
  • Actively
    coordinate travel and accommodation requirements in connection with others
    and ensure necessary arrangements in place for the Deputy Executive
    Secretary match the requirements of his/her office.
  • Carry
    out and or complete research on behalf of the Deputy Executive Secretary
    or as he/she may assign.
  • Work
    closely with the relevant officers, provide strategic communications
    support to the Deputy Executive Secretary. This support will include
    writing and editing speeches, presentations, talking points, website
    information, blogs, op-eds, white papers and other communications, as
    needed.
  • Keep
    and maintain an accurate record of files, papers and electronic
    correspondence on behalf of the Deputy Executive Secretary.
  • Maintain
    and regularly update a user-friendly database of contacts with people,
    businesses and institutions that the Deputy Executive Secretary/UNCST
    works with. This database should include the following details: names,
    telephone and fax numbers, email, website, physical location, and any
    other relevant information.
  • Manage
    unscheduled events and activities in the Deputy Executive Secretary’s
    office and troubleshoot problems.
  • In
    the absence of the Personal Assistant to the Executive Secretary, carry
    out the duties of the Personal Assistant to the Executive Secretary.
Qualifications, Skills and Experience: 
  • The
    ideal candidate for the Administrative Assistant/Personal Assistant
    vacancy should possess a Bachelor’s degree in Administration, Office
    Management, Secretarial Studies, or any related field
  • At
    least two years’ experience in a related field
  • Possess
    the ability to multi-task, prioritize and work under pressure and tight
    deadlines
  • Excellent
    interpersonal skills
  • High
    degree of discretion and understanding of confidentiality issues
  • High
    degree of integrity and commitment
  • Possess
    the ability to work independently and in a multi-cultural environment
  • Highly
    computer literate
