About Akola:
Akola Project is a non-profit,
social business that empowers women by facilitating vocational training,
employment opportunities, savings and loans associations, education programs,
support groups and leadership development.
Job Summary: The
Executive Assistant will be responsible for providing administrative and
support services to the Country Director and Program Managers of Akola Project.
Responsibilities will include a range of administrative support to ensure that
the office of the Country Director operates in an efficient manner; referring
and prioritizing requests from staff to the Country Director and vice versa,
maintaining files, assisting with donor reports, upkeep and management of
organizational assets and assisting with program planning and implementation.
They will also manage all bookkeeping and will help to provide professional
development to national staff members. This position will require a strong
connection with the mission of Akola Project and a willingness to give a
complete effort for the organization to meet its development goals.
Key Duties and Responsibilities: 
1. Administrative Support:
  • Support
    the Country Director and management staff with daily administrative
    functions as needed
  • Manage
    the filing system for Akola Project office, keeping records of all
    receipts, contracts, agreements, memos, staff time sheets, payroll
    reports, resolutions, acts, and any other documents pertaining to the work
    of Akola Project
  • Ensure
    protection and security of all files, records, assets and records
  • Actively
    coordinate scheduling of various meetings including board, staff, donors
    and peers
  • Make
    travel arrangements for visitors and staff as needed
  • Assist
    with the management of all organizational assets as required
  • Oversee
    assigned projects as needed
2. Professional Development
for National Staff:
  • Offer
    professional development guidance to Ugandan staff to encourage
    independence, innovation and efficiency
  • Create
    training and process manuals for all Akola Project administrative
    operations
  • Offer
    training to national staff members to ensure that all administrative and
    operations tasks are performed with high levels of organization, accuracy
    and attention to detail
  • Provide
    a good example of good stewardship with time, resources and privilege for
    Akola staff, employees and women’s groups
3. Bookkeeping Management:
  • Oversee
    all bookkeeping performed by the Office Manager
  • Support
    the Country Director with managing and monitoring all budgets and finances
    as required
  • Intuitively
    review all Quickbooks entries
  • Assist
    with the preparation of various financial reports
  • Provide
    financial information to all Akola Project staff and/or board members upon
    their request
  • Assist
    with preparing all accounts for audits, including carrying out timely
    audit closures
  • Perform
    any other duties as required 
Qualifications, Skills and Experience: 
  • The
    ideal candidate should hold a Bachelor’s degree from four-year college or
    university
  • Past
    exposure and experience working in an office environment
  • Computer
    proficiency in Microsoft Office
  • Hyper
    organized and high attention to detail
  • Ability
    to work effectively in a face-paced environment
  • Creative
    and resourceful; able to ‘think outside of the box’
  • Strong
    self-initiative
  • Possess
    the ability to build cross-cultural relationships
  • Prior
    experience with Quickbooks desirable but not necessary 
Compensation and Benefits: $400 monthly salary, International health insurance policy (excludes
US), housing, project transportation, monthly phone allowance, work visa,
round-trip flight to Uganda and generous vacation policy
