About PPS:
The Parliamentary Pension Scheme (PPS)
was established by the Parliamentary Pensions Act 2007 as a Contributory Hybrid
Cash Balance Retirement Benefit Plan for the Members of Parliament of Uganda
and the staff of the Parliamentary Commission. The Scheme is managed by a Board
of Trustees, constituted in accordance with the Act.
Job Summary: The Administrative
Secretary will be responsible for high level administrative support and secretarial
services to Management and the Board of Trustees.
Key Duties and Responsibilities: 
  • Organize
    discussion papers, presentations and reports for Management and the Board.
  • Organize
    and facilitate Management and Board meetings, thereby documenting quality
    Minutes.
  • Organize
    various events, seminars and retreats for the Board and Management thereby
    properly documenting the proceedings.
  • Review
    correspondences, submissions and reports to ensure proper routing and
    appropriate responses.
  • Organize
    travel: schedules and make reservations for the Board members and
    Management.
  • Keep custody
    and confidentiality of management and Board records.
  • Manage
    the Chief Operations Manager’s diary, schedule meetings, appointments and
    handle all communications
  • Receive
    and guide visitors with high level of courtesy.
  • Manage
    the front office and ensure sound organization of Chief Operations
    Manager’s office.
Qualifications, Skills and Experience: 
  • The
    Administrative Secretary should hold a good bachelor’s degree in
    Secretarial Studies, Social Sciences, Business Administration or Office
    Management from a recognized University/ Institution.
  • At least
    five (5) years of progressive working experience; two (2) of which should
    have been served in a senior executive’s office in a busy environment.
  • Proven ability
    in shorthand and word processing; with speeds of at least 100/120 and
    50/60 words per minute respectively.
  • Excellent
    computer literacy skills and proven ability in the relevant software such
    as MS Office Suite.
  • Excellent
    knowledge of operating standard office equipment like Scanner, Computer,
    heavy duty Photocopying Machine, Fax, Networked Printer and use of Windows
    Fax & Scan.
  • Possess
    the ability to handle sensitive and confidential information with
    discretion.
  • High Self-drive
    and ability to work independently with minimum supervision.
  • Emotionally
    mature and a great team-worker.
  • Excellent
    written and spoken command of the English language.
  • Attention
    to detail and accuracy.
  • Excellent
    organizational and planning skills.
  • Excellent
    Interpersonal and communication skills.
Age: Between 25-40 years
