About Invisible Children:
Joseph Kony and
the Lord’s Resistance Army have been abducting, killing, and displacing
civilians in East and central Africa since 1987. We first encountered these
atrocities in northern Uganda in 2003 when we met a boy named Jacob who feared
for his life and a woman named Jolly who had a vision for a better future.
Together, we promised Jacob that we would do whatever we could to stop Joseph
Kony and the LRA. Invisible Children was founded in 2004 to fulfill that
promise. Invisible Children focuses exclusively on the LRA conflict through an
integrated four-part model that addresses the problem in its entirety:
immediate needs and long-term effects.
Job Summary: The Executive Assistant will ensure
efficient administrative support to the Regional Head of Office; first point of
contact for the Head of office. The Executive Assistant will be responsible for
coordinating all forms of communication on behalf of the Regional Head of
Office. The position reports directly to the Regional Head of Office. He/she
will be responsible for all day-to-day communication at the Regional Office
Key Duties and Responsibilities:
  • Manage
    the diary of theRegional Head of Office (RHoO).
  • Handle
    all appointments of the RHoO, and constantly issue reminders accordingly.
  • Oversee
    all communication to and from the RHoO.
  • Organize
    and coordinate all meetings on behalf of the RHoO
  • Ensure
    follow-up of organizational documents such as reports betweenstaff and the
    RHoO.
  • Secretary
    to the Senior Management Team; coordinate and handle all communication
    regarding SMT meetings and activities.
  • Maintaining
    the Administrative Systems
  • Managing
    the RHoOtravel and upkeeparrangements
  • Communications
    systems and Office equipment maintenance
  • Act
    as a role model for other staff by modeling Invisible Children’s culture
    through appropriate behavior.
  • Draft
    correspondences, speech for theRHoO
  • Review
    documents such as reports before submission to the RHoO
  • Interpret
    and translate documents (English – French)
  • Capacity
    to appreciate and integrate humanitarian principles and action, gender and
    diversity issues into office management.
  • Carry
    out any other tasks as requested.
Qualifications, Skills and Experience:
  • The
    applicant should hold a Bachelors’ degree in Administration, Languages
    (French/English), International Relations, Development, Law or other
    relevant qualifications and a minimum three year’s progressive
    administration experience with International NGOs
  • A
    minimum of two years’ experience as an Executive Assistant to a high level
    position.
  • Ability
    to lead the support team and support the leadership
    of the Regional Head of Office. 
  • Ability
    to delegate, coach and develop staff, including experience of
    management/supervisory responsibilities.
  • Excellent
    ability to work independently and within various teams and proven ability
    to be flexible.
  • Excellent
    analytical and communication (verbal and written) skills
  • Excellent
    interpersonal skills and the ability to work with people from diverse
    cultures, ability to lead and motivate people to work in teams
  • Ability
    to manage competing tasks; ability to prioritizeand produce high level
    output consistently
  • Good
    written and spoken English and French is a must.
  • Demonstrated
    resonance with the aims and objectives of Invisible Children is
    essential.
